About Us
We are a growing group of dental clinics currently operating in Ennis and Gort, with additional clinics coming on board in the coming months. We are in the process of centralising all patient phone communications and are seeking a reliable, friendly, and highly organised Telephonist to manage all incoming calls and patient enquiries across multiple locations.
This is a unique opportunity to be part of a dynamic and expanding dental group, playing a key role in building the foundation of our central communications team.
Role Overview
The Telephonist will act as the first point of contact for all incoming patient queries via phone, email, and online channels. This role requires excellent communication skills, attention to detail, and a genuine interest in helping people. You will be supported with full training and clear protocols.
Key Responsibilities
- Answer and manage all incoming phone calls for multiple dental clinics using a centralised phone system
- Speak with new patients, explain services, and book appointments
- Follow a structured script and SOPs to ensure consistency and quality of service
- Support existing patients with appointment changes, follow-ups, and general queries
- Understand and explain the following: Medical Card dental entitlements / PRSI Dental Benefits Scheme / Private dental insurance coverage and exclusions
- Monitor and respond to incoming emails and online enquiries
- Handle social media, Google, and website leads — respond, track, and convert to bookings
- Confirm appointments in the diary via call or text
- Follow up with patients post-treatment for feedback and service quality
- Escalate any patient complaints or urgent issues appropriately
Requirements
- Excellent verbal and written English communication skills
- A warm, professional, and patient-focused phone manner
- Strong attention to detail and ability to follow systems precisely
- Proficiency with email, digital booking systems, and CRM-style tools
- Ability to work independently in a focused and self-managed way
- Preferably a good understanding of the Irish dental system (Medical Card, PRSI, private insurance) preferred but not essential
- Previous experience in dental or healthcare reception is a bonus but not essential
