Reporting to the Chief People Officer, you will have a solid and proven track record as an Executive Assistant.
This is a part-time permanent position (flexibility is available on structure of part-time).
Key Responsibilities:
- Scheduling appointments, meetings, and managing the Chief People Officer’s calendar to optimise time and prevent conflicts.
- Handling phone calls, emails, and responding on behalf of the Chief People Officer.
- Proactively looking for ways to enhance preparation for Management Committee, Partnership and other critical meeting updates and briefing.
- Organising and coordinating HR meetings and events, including preparing materials, drafting agenda, taking minutes, and following up on action items.
- Preparing documents, reports, and presentations, maintaining appropriate HR, Finance system updates.
- Managing tasks and assisting with various HR projects when required.
- Anticipating future planning needs for the Chief People Officer, and support on other ad hoc duties when required.
Required skills and Expertise:
- Minimum 5 years’ experience in an Executive Assistant / PA Administration with a proven track record of supporting and working at executive level.
- Experience in working with Human Resources executives preferred – absolute discretion is critical.
- Ability to prioritise and manage own work, complete all necessary tasks on time.
- Meticulous attention to detail.
- Be able to maintain discretion and handle sensitive information with professionalism.
- Superb communication skills in both verbal and written format.
- Time management skills that allow you to coordinate multiple competing tasks.
- A solution focused mind-set and working style, can-do approach to work, even in challenging situations.
- Ability to identify and resolve issues efficiently and effectively.
- Flexibility in adjusting to changing priorities and situations.
- Have experience in planning and managing attendance of events and meetings.
- Ability to work well with all levels of internal staff.
