Role Overview
Made of Music Limited is seeking a responsible, efficient Administrative Assistant to support our busy music school. You’ll own day‑to‑day operations—scheduling, communications, basic accounting, facilities oversight—and collaborate closely with teachers, parents, and leadership. This long‑term role starts part‑time with room to grow as the school expands.
Key ResponsibilitiesDaily Operations
- Scheduling
- – Manage calendars, room availability, teacher & student schedules in My Music Staff– Reschedule cancellations, follow up on trial lessons and leads
- Reception & Communication
– Answer calls, emails– Relay urgent updates (cancellations, changes) to parents and staff
- Clerical & Accounting
– Record student payments; process instructor payments and invoices– Track book/material orders and charge families accordingly– Maintain studios restock kitchen, office, and cleaning supplies– Coordinate with cleaners and report maintenance needsWeekly & Termly Tasks
- Facilities & Supplies
- Weekly social‑media posts
- Reconcile invoices, follow up on overdue accounts
- Prepare term‑start enrollment, waitlists, and marketing materials (flyers, local poster drops)
- Coordinate recitals, exams (RIAM), and open‑day logistics
Requirements
- Proven admin or customer‑service experience in a busy office
- High attention to detail, excellent multi‑tasking, and calm under pressure
- Outstanding written/verbal communication and professional demeanor
- Basic bookkeeping know‑how; friendly handling of payments and invoices
- Experience with My Music Staff or similar is a plus
- Music‑school background highly advantageous
