Context Since the inception of IOM in 1951, Movement Operations have been and continue to be a fundamental pillar of the Organization’s work. The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM’s operations. Movement Operations Units in various IOM Country Offices, coordinated under the Resettlement and Movement Management (RMM) Division in the Department of Mobility Pathways and Inclusion at IOM’s Geneva Headquarters, are responsible for all aspects of travel for migrants and refugees under IOM’s auspices, in accordance with the various framework agreements with resettlement and receiving Governments and partners across the spectrum of the Organization's programmes.Under the general supervision of the Chief of Mission, the direct supervision of the Head of Unit – Movements and in coordination with the AVRR Coordinator, the Project Support Associate is responsible for undertaking movements activities, with the following duties and responsibilities:
Responsibilities and Accountabilities:
- In coordination with the Head of Movement Unit and the AVRR Coordinator, assist on all aspects of project implementation and reporting processes and procedures.
- Handle incoming calls for the Assisted Voluntary Return and Reintegration unit by promptly and professionally answering the telephone, screening and directing calls as necessary, and accurately recording and relaying messages in a courteous manner.
- Review, record, distribute and process incoming mail and correspondence; follow-up on pending actions for the AVRR unit.
- Respond or draft responses to standard/ routine correspondence and other communications; use word processing package to produce a wide variety of large, complex documents and reports.
- Consolidate and analyse statistical data in collaboration with other relevant staff.
- Facilitate workshops, meetings, conferences in line with human and financial resources.
- Support the liaison functions with government, relevant partners and stakeholders.
- Assist in the development and maintenance of contacts and networks with various stakeholders.
- Support the timely implementation of ongoing projects by liaising with Procurement, Finance, HR, and Logistics units to coordinate that requests are met within the required timelines.
- Prepare and follow up on payment vouchers and purchase requests and payments and procured items are delivered on time to avoid any delay in the implementation of projects.
- Assist in all logistical and administrative needs of the Unit, including communication, transportation, etc.
- Verify all communication and visibility material and liaise with concerned bodies to these materials are being used properly.
- Keep accurate and pertinent records of all correspondence, reporting files and administration information, as needed.
- Perform other duties that may be assigned.
Education
- University degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience; or
- Completed High School degree from an accredited academic institution, with years of relevant experience.
Experience
- Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
- Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

Languages
- Fluency in English is required.
- Any other IOM official language is an advantage.
