Document Control and Quality Administrator
We are looking for a talented Document Control and Quality Administrator to join our team. The successful candidate will be reporting into the Group Document Control Lead and Quality Manager. The Document Control and Quality Administrator will be responsible for the administration control and maintenance of all data of a technical nature and QMS (Quality Management System) on the company’s electronic document management system.
Full training of the successful candidate will be provided.
Duties and Responsibilities

Using the electronic document management system (IFS) to index, store and retrieve a wide variety of document types (for example: engineering drawings, work instructions, certificates, test reports etc)

Identify, review & control documents, checking they comply with standards & internal requirements prior to approval.

Create new revisions and archive outdated versions.

Distribute documents to the relevant people, departments or sites & let departments know when they need to act on a document as part of a process

Create master document templates, forms, user guides & training materials & train employees how to use them.

Make sure that departments are following the correct procedures in the document flow process

Control of certain data of the document management system (IFS) e.g. part numbers, part descriptions, bill of materials & user access

Support the release of new products to ensure that release is delivered in line with internal document control requirements.

Participate in projects & continuous improvements initiatives with other departments and/or other sites (e.g., Quality H&S, Engineering, Purchasing, Marketing, IT)

Handle global quality management systems (QMS) and ensure compliance with ISO 9001 standards

Maintain and update quality documentation, procedures, and records

Conduct internal audits and implement corrective actions

Creating reports as necessary.

Additional responsibilities may arise as deemed necessary by your line manager.
Skills/ Qualifications
- Third level qualification desirable but not essential.
- One plus years’ experience in a documentation control related position in a manufacturing environment with knowledge of ERP/MRP systems desirable.
- Understanding of MS office package desirable but not essential.
- Excellent attention to detail & accuracy skills
- Ability to maintain accurate records and work in a methodical fashion.
- Organised, energetic and self-motivated.
- Strong communicator with well-developed interpersonal skills.
- High level of analytical methodology and time management skills required.
- Effective problem-solving skills.
