Job Purpose:
The Head Receptionist oversees the day-to-day operations of the reception area, ensuring a high standard of customer service and efficient administrative processes. This role acts as the first point of contact for guests, clients, or patients and leads the reception team to deliver a professional, welcoming, and well-organized front-of-house experience.
Key Responsibilities:
- Team Leadership:
- Supervise, train, and schedule reception staff.
- Conduct regular team briefings to ensure smooth operations and consistent service standards.
- Monitor performance and provide feedback, coaching, and support.
- Reception Operations:
- Ensure the reception desk is always professionally presented and fully staffed.
- Greet and assist visitors, clients, and callers in a friendly and efficient manner.
- Oversee check-in/check-out processes (if hotel or clinic-based).
- Manage incoming calls, emails, and correspondence.
- Customer Service:
- Handle escalated guest or client concerns promptly and professionally.
- Maintain high service standards and a welcoming atmosphere at all times.
- Implement strategies to enhance guest satisfaction.
- Administration:
- Maintain accurate records, logs, and booking systems.
- Oversee cash handling, invoicing, and petty cash management (if applicable).
- Liaise with other departments to coordinate services and resolve issues.
- Compliance & Standards:
- Ensure front-of-house policies and procedures are followed.
- Adhere to GDPR/data protection regulations and confidentiality policies.
- Ensure health and safety protocols are observed at reception.
Skills & Qualifications:
- Proven experience in a receptionist or front-of-house supervisory role.
- Strong leadership, organization, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and/or booking systems.
- Professional appearance and demeanor.
- Ability to remain calm under pressure and resolve issues diplomatically.
