About the Irish League of Credit Unions (ILCU)
The Irish League of Credit Unions (ILCU) is the national representative body for credit unions across the island of Ireland. We support our member credit unions through leadership, guidance, advocacy, and shared services. The Office Facilities Coordinator will play a vital role in ensuring the smooth running and welcoming environment of the ILCU’s office space.
Role Purpose
Reporting to the Head of Internal Operations, this role is key to ensuring the office operates smoothly, remains well-stocked, and offers a welcoming environment for staff and visitors alike. The Office Facilities Coordinator will also provide reception cover during peak times or when the primary receptionist is on leave.
Key Responsibilities
Office Facilities Coordination
- Oversee the cleanliness, upkeep, and functionality of the office, meeting rooms, and shared spaces, ensuring they remain tidy, well-stocked, and presentable throughout the day
- Oversee office supplies, including stationery, printer consumables, kitchen stock, and canteen provisions
- Conduct regular walk-throughs to monitor workspace standards, restock communal areas, and report any issues
- Support the planning and execution of internal meetings and events, including logistics, catering, and setup
- Liaise with service providers and contractors (e.g. maintenance, cleaning, waste disposal, and security) to coordinate routine services, repairs, and inspections
- Support supplier relationships and assist in reviewing service agreements as needed
- Maintain documentation and ensure compliance with building maintenance schedules, health safety protocols, and office procedures, including the upkeep of first aid kits and safety signage
- Be a key member and champion of the ILCU HS Committee
- Assist in managing building-related issues and escalate as needed
Administrative Support
- Provide administrative support to the Head of Internal Operations and assist other departments when needed
- Maintain and update internal systems such as directories, access logs, and compliance records
- Assist with workspace planning and new starter setups, ensuring a smooth onboarding experience
- Support internal communications (e.g., team notices, office signage, and general updates)Experience and Skills
- Experience in office coordination, facilities support, or front-of-house roles preferred
- Strong organisational skills and high attention to detail
- Confident managing inventory and coordinating suppliers or contractors
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office and general office systems
- Approachable, dependable, and proactive with a flexible, can-do attitude
