We are currently seeking an experienced and professional Reservations Supervisor, who will report to the Rooms Division Manager, and work with the whole Front Office team, to provide exemplary service to ensure that all guest queries and bookings are managed with accuracy and professionalism. The Reservations Supervisor plays a key role in upholding the hotel's reputation for excellence, by managing the reservations function to ensure the smooth, efficient handling of all guest bookings while maximizing occupancy and revenue.
Below are some of the key duties of the role:
Sales
· To upsell at all relevant opportunities, to enhance to guest stay and to the benefit of the hotel
· To be able to make every type of reservations including Dining, Groups & Blocks
· Take an active role in setting of Team targets & Upsell activities
· Timely response to be given to the service needs of customers both internal & external
· To exceed customer expectations (the Wow Factor)
· To give the hotel a lasting first and last impression
· To ensure consistent, efficient and friendly service is given throughout a guests reservation process
· Has a basic understanding of local attractions.
Communication & Team:
· To perform a thorough handover at the end of each shift
· Using Table Path, Emails, Function Sheets and any other system employed by the hotel to ensure messages and bookings are taken & delivered promptly to other departments within the hotel
· To maintain service when Front Office systems fail or go offline
· To handle guest problems and queries in a professional manner
· To hold Departmental Meetings in the absence of the Rooms Division Manager
· To induct new employees using the company induction program with regards to Reservations SOPs
· To carry out Weekly training with all Team members
· Positive working relationships to be established and maintained with colleagues throughout the hotel
Systems
· To have an excellent understanding of OPERA
· To have a basic knowledge of Word, Excel & Outlook and know how to locate various documents
· To fully understand the switchboard and telephone systems
· To know how to access the relevant helpdesks if any systems go down
· To have a clear understanding for all systems that interlink with Reception/Reservations - such as interfaces, servers, printers, Siteminder, Ratewise and OTAs
· Accurate payments to be dealt with in accordance with the Hotel’s standards and the company’s cash & data handling procedures
Policies & Procedures
· To ensure that all Hotel policies & procedures are adhered to, including Health & Safety, GDPR, etc.
Requirements:
- Previous experience in a reservations or front office supervisory role, ideally in a 4-star or 5-star hotel.
- Strong knowledge of reservation systems (e.g., Opera, Protel, or similar PMS).
- Excellent communication and organisational skills.
- Ability to lead, motivate, and support a team in a fast-paced environment.
- A passion for hospitality and delivering exceptional guest service.
- Flexibility to work various shifts, including weekends and holidays.
