Customer Service Administrator – Maintenance Booking Specialist

Our team of Maintenance Booking Specialists with in the wider Customer Service Department provide front line support for the people who drive our vehicles, helping to keep our clients businesses moving. The successful applicant will thrive on looking after the needs of our prestigious suite of clients in a fast paced, dynamic environment by applying the vehicle maintenance knowledge that we give you to find creative, flexible solutions for the needs of a diverse portfolio of stakeholders.
Applicants must have excellent written & verbal communication, with practical computer and administrative skills and have the desire and ability to effectively contribute to a high performing team. Prior customer service experience is desirable but your ambition, energy and people skills are what’s most important.
Tasks
- Working as part of a team, efficiently and professionally process and log inbound telephone and email enquiries.
- Act as a trusted point of contact for all vehicle maintenance and repair requests.
- Direct vehicles into Ayvens preferred supplier network for repairs, finding the right supplier for the situation.
- Build long term proactive relationships with clients and drivers by continuing to build on Ayvens professional image and maintaining Ayvens high standard of customer service.
- Achieve team goals as well as individual targets as outlined by your Line Manager, helping the department deliver on its wider strategy of customer service excellence.
- Increase customer survey ratings through consistently delivering excellent service and creative solutions.
- Handle complaints in line with our policy & procedure, striving for excellent outcomes for all stakeholders.
- Manage fluctuating workloads and peaks in volume whilst maintaining exceptional levels of service.
- Maintain a high standard of accuracy and compliance in your general administration.
- You will have opportunities to work with your managers and colleagues on exciting projects to drive our business forwards. Undertake any reasonable role related duties which may be required from time to time by your Line Manager.
Knowledge, Skills & Experience
- Motor/Fleet industry experience is desirable but not essential – we will give you the tools and knowledge to succeed
- Pragmatic decision-making skills that allow you to take the initiative on processing information received and formulating an appropriate solution.
- Excellent telephone communications skills, allowing you to communicate effectively with both suppliers and customers in a polite, professional, friendly and diplomatic manner.
- Demonstrable record of high achievement & drive with a proven ability to deliver results.
- Team player who actively participates in shared objectives and has an enthusiasm and commitment to work towards team goals.
- Flexibility and a willingness to carry out a variety of tasks/activities as required to meet the departments objectives with a “team first” mindset.
- Excellent written communication skills allowing you to deliver effective, professional communications.
- A strong attention to detail enabling a high level of accuracy.
- Computer literate with an ability to master new platforms and systems.
- Displays strong interpersonal skills and emotional intelligence, resulting in an ability to build rapport with clients and drivers.
- Unwavering time management skills, enabling the management of fluctuating workloads through organisation and prioritisation of daily tasks.
- The ability to see issues through to completion and work to deadlines, appropriately following up on client deliverables.
- The ability to deal with and build relationships with individuals at all levels of the business, leaving you seen as approachable and willing to get involved.
