About the Role
This role provides high-level operational and administrative support to the Director of Sales, ensuring the smooth execution of commercial activities and strategic initiatives. Responsibilities include managing commercial projects, coordinating tender submissions, organising internal and external events, and handling calendar management, including scheduling key meetings and supporting strategic planning with commercial partners. You will also assist with sales administration tasks such as setting reminders, sharing market intelligence, conducting competitor analysis, and ensuring budget alignment.
Working closely with the Business Intelligence team, you will help develop a data-driven playbook based on customer and product insights. The Commercial Support Executive will also work collaboratively with the Director of Sales, the Commercial Enablement Manager, and other internal teams to drive efficiency, maintain structure, and support strategic sales goals.
Principal Duties and Responsibilities
- Sales Operations & Executive Support
- Provide daily operational and administrative support to the Sales Director.
- including proactive calendar management—scheduling high-impact meetings, coordinating strategic planning sessions, and ensuring alignment across internal and external stakeholders to maximise the Director of Sales’ time and focus.
- Manage the Sales Director’s calendar, schedule meetings, and coordinate travel.
- Prepare for meetings, including room setup, refreshments, and presentation materials.
- Monitor and manage email communications on behalf of the Sales Director where appropriate.
- Handle confidential information with discretion and professionalism.
- Track and follow up on key actions and deliverables across the sales team.
- Liaise with the Commercial Enablement Manager to support onboarding of new team members and internal coordination.
- Tender Management
- Coordinate and prepare public and private sector tender submissions for both Northern Ireland and the Republic of Ireland.
- Liaise with internal departments to gather required documentation, pricing, and compliance materials.
- Maintain a library of standard responses, certificates, and supporting documents.
- Monitor tender portals and ensure all deadlines and submission requirements are met.
- Project Coordination
- Support the planning and execution of strategic sales and commercial projects.
- Track project timelines, deliverables, and outcomes.
- Assist in the development and documentation of Standard Operating Procedures (SOPs) and process improvements.
- Facilitate collaboration between Sales, Marketing, Operations, Purchasing, and other departments.
- Administrative & Organisational Support
- Maintain accurate records, files, and documentation.
- Support event planning, conference logistics, and internal communications.
- Ensure smooth day-to-day operations and act as a reliable point of contact for internal stakeholders.
- Work closely with Business Intelligence to create a playbook based on customer and product data
- Work with our external service provider to implement the reporting project (NSAW) to enable creation of dashboards, reporting automation and data driven business decisions.
Required Experience and Qualifications
- Minimum 5+ years’ experience in a sales support, commercial coordination, or executive assistant role.
- Proven experience managing or contributing to tender submissions in Ireland and/or Northern Ireland.
- Familiarity with the healthcare supply industry is a strong advantage.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, SharePoint, Outlook, and Co-Pilot) and CRM systems (e.g. NetSuite).
- Experience supporting senior leadership, including calendar and email management.
- Strong organisational and time management skills.
- Exposure to project coordination or project management methodologies. Project Management Qualification is a strong advantage but not essential.
- Strong written and verbal communication skills.
- Proven ability to work independently, manage confidential information, and manage multiple priorities effectively.
- Strong initiative and ownership mindset, with a proactive approach to anticipating needs, solving problems, and driving continuous improvement.
- A degree in business or related field is advantageous but not essential.
