Job Description: Executive Assistant
The Executive Assistant will provide comprehensive support to the business lead CEO
The Role
Key responsibilities include
- Manage and organise Martin's emails and calendar.
- Complete and monitor Martin's Central Show Documents (CSD), follow up on outstanding contracts and invoice payments, and communicate any rescheduled or cancelled shows to Operations Manager
- Prepare and submit completed offer/invoice request sheets for processing.
- Oversee show settlements for promoted shows to ensure timely payments to the artist. Maintain organised records of all show costs and specific requests
- Maintain organised records of all artists promo assets and tech riders and keep them updated
- Process invoice payments and maintain accurate financial records for the new company.
- Download and convert MPI and new company, bank statements to Excel, and submit them for accounting purposes on a monthly basis
- Assist with VAT returns
- Conduct weekly meetings with Martin to review and address any action items and create action plans
The Person
Minimum of 3 years relevant work experience
Strong organisational and time management skills, excellent English written and verbal communication, and experience with administrative tasks, especially those involving finance and scheduling. Proficiency in calendar management tools and spreadsheet software is essential.
Experience with contract tracking, invoicing, and financial record-keeping is highly desirable. Also, the individual should be detail-oriented and capable of handling multiple tasks simultaneously
Experience in event/project management is a distinct advantage.
Job Type: Full-time
Pay: €32,000.00-€34,500.00 per year
