Overview
The Facility Operations Officers at Charlestown Lodge are responsible for ensuring the safety, security, and overall management of the facility and its residents. Facility Operations Officers are tasked with maintaining a secure, peaceful, and orderly environment, addressing safety concerns, and ensuring that all facilities are operational and well-maintained. This role demands a high level of diligence and responsibility, particularly in responding to emergencies and managing key administrative tasks.
Facility Operations Officers are required to work independently, especially during night shifts, and must ensure that all protocols regarding health, safety, and security are strictly adhered to. In addition to security and facility oversight, they manage essential administrative tasks such as maintaining resident files, monitoring registers, and ensuring compliance with Charlestown Lodge’s policies and procedures. This position requires a proactive approach to uphold operational, safety, and cleanliness standards, providing a safe and welcoming environment for residents.
Key Responsibilities
1. Security, Health, and Safety
The Facility Operations Officer is responsible for safeguarding the security of Charlestown Lodge and ensuring the health and safety of all residents:
· Security Oversight:
o Monitor access points to ensure the building is secure and that only authorised individuals gain entry.
o Conduct regular security checks and respond to any incidents or unauthorised activities.
o Report any breaches of security to the Operations Manager and escalate to emergency services if necessary.
· Health and Safety Inspections:
o Conduct routine checks of shared spaces, ensuring that all areas are free from hazards.
o Ensure that safety measures, such as emergency exits, fire extinguishers, and alarms, are in good working order.
o Address any immediate safety risks and report them promptly to the maintenance team or Operations Manager.
· Emergency Procedures:
o Be familiar with the building’s emergency protocols, including fire evacuation plans and emergency shut offs for utilities.
o Act as the first point of contact in the event of an emergency, assisting with evacuations or coordinating with emergency services when necessary.
2. Facilities Management
Facility Operations Officers are responsible for the smooth operation of all shared and private facilities within Charlestown Lodge:
- Room Preparation and Maintenance Reporting:
- Ensure that private rooms are prepared for new residents, including checking that they are clean and fully stocked with essentials such as linen and towels.
- Report on any maintenance issues, such as faulty equipment or damaged fixtures, ensuring these are addressed promptly by the relevant team.
- Attend to minor maintenance issues.
· Oversight of Shared Spaces:
- Conduct regular checks on kitchens, bathrooms, laundry rooms, and communal areas, ensuring they remain functional and presentable.
- Ensure that all equipment in shared spaces is operational and report any malfunctions for repair.
3. Cleaning Responsibilities
While both Day & Night Facility Operations Officer share the responsibility of general cleaning, night Facility Operations Officers are particularly responsible for deep cleaning:
- Routine Cleaning:
- Maintain the cleanliness of shared areas, including sweeping, mopping, and wiping down surfaces to ensure a high standard of hygiene.
- Deep Cleaning (Night Facility Operations Officers):
- Carry out deep cleaning tasks during the night shift, ensuring that all communal areas are thoroughly cleaned and sanitised.
- Restocking and Inspections:
- Ensure that bathrooms and other shared spaces are stocked with essential supplies, such as toilet paper and soap, and conduct routine inspections to maintain cleanliness.
4. Compliance with Policies and Procedures
It is essential that Facility Operations Officers adhere strictly to all company policies and procedures, particularly regarding health and safety, security, and resident care:
- Company and Health and Safety Policies:
- Ensure full compliance with all health and safety regulations and company policies, as outlined in the employee handbook.
- Understanding and being compliant with all SOP’s and Operational Policies and HR Policies.
- Report any breaches of policy or safety concerns to the Operations Manager.
- Zero Tolerance Policy:
- Uphold Charlestown Lodge’s zero-tolerance approach to abuse, intimidation, or harassment, ensuring incidents are managed appropriately.
- Ongoing Training and Compliance:
- Attend regular training sessions and complete online training and attend staff briefings to remain informed of any changes to procedures, ensuring consistent compliance.
5. Communication and Shift Handover
Clear communication between shifts is critical to the efficient running of the lodge:
- End-of-Shift Handover
- Prepare comprehensive end-of-shift reports to ensure the oncoming Facility Operations Officer is fully briefed on any ongoing issues or tasks.
- Collaboration Between Shifts:
- Work collaboratively with colleagues to maintain a seamless transition between day and night shifts, ensuring no issues are overlooked.
This requires strong written communication skills, as reports and notes must be detailed, accurate, and clear for the next Facility Operations Officer.

· Night Facility Operations Officers: 7:30pm to 8:00am
