About The Role
Location: Dublin
Hours of Work: 40 Hours per week, Monday to Friday
Role Overview:
- The Facilities Co-Ordinator is responsible for overseeing the day-to-day facilities operations, maintenance and safety of all building services and equipment.
- This role ensures that the facilities are maintained to the highest operational standards, in compliance with statutory regulations, copany policies, and health & safety requirements.
- The Facilities Co-Ordinator will lead, coordinate and motivate a team of maintenance and cleaning personnel, while managing contractors and service providers to deliver efficient, cost effective, and high quality services.
Key Responsibilities:
- Facilities Operations & Maintenance
- Supervise the daily operations of building systems, including HVAC, electrical, plumbing, fire safety, lifts and security systems.
- Schedule and oversee preventive and reactive maintenance activities.
- Ensure all facilities related equipment is operating efficiently and safely.
- Coordinate with internal departments to address facility related issues promptly.
- Team Supervision & Contractor Management
- Oversee the mobile facilities service team, when carrying out PPM's and monitoring outputs.
- Be a point of contact for all service delivery, assign and prioritise tasks for maintenance and cleaning staff, based on customer feedback.
- Liaise with external contractors and suppliers, ensuring work is competed to specification, on time and within budget.
- Monitor contractor performance and adherence to service level agreements (SLA's).
- Health, Safety & Compliance
- Ensure compliance with statutory building regulations, workplace safety standards and environmental policies.
- Maintain and update facilities related documentation, permits and inspection records.
- Conduct regular health & safety inspections, risk assessments, and fire drills. Ensure all incidents, faults and hazards are reported, documented and resolved promptly.

- Budget & Resource Management
- Assist in development and monitoring the facilities budget.
- Control costs through effective scheduling, procurement, and vendor negotiations.
- Monitor inventory and arrange procurement of necessary tools, materials and consumables.
- Continuous Improvement
- Identify opportunities to improve facilities operations, energy efficiency and sustainability.
- Recommend process improvements and cost-saving measures.
- Stay updated on industry best practices, technology and compliance changes.
- Relevant trade qualification or technical certifications (eg HVAC, electrical, plumbing) advantageous.
- Minimum 3-5 years experience in facilities supervision/coordination, building maintenance or a related supervisory role.
- Strong organisational and problem-solving skills.
- Excellent knowledge of building systems and maintenance practices.
- Proficient in MS Office and Computerised Maintenance Management Systems (CMMS).
- Strong interpersonal and communication skills.
- Build strong relations within client team and internal departments within Bidvest Noonan.
- Adherence to planned maintenance schedules and SLAs.
- Compliance with statutory regulations and safety requirements.
- Customer satisfaction with facilities services.
