Role Overview:
The Nursing and Family Service Administrators oversee the administration of the in-home nursing care and respite support for children up to the age of six with severe to profound cognitive delay and end of life care for all children regardless of their diagnosis.
Main responsibilities include but not limited to;
- Provide admin support to all nurse managers
- Processing new referrals as per the Foundation’s policy.
- Manage banking details as per the Foundation’s policy
- Manage data entry and management of Helix health system
- Manage data entry and management of Access System and Portal
- Ensure that all paperwork submitted by families is up to date
- Communicate with families regards documentation.
- Manage monthly donations to families and nurses through the portal system and submit to finance for payment.
- Review HSE claim forms and submit to Finance for reconciling
- Change and design paperwork as requested
- Manage birthday card list
- Do a list of the family claiming history bimonthly
- Send closure Letter to families 2 months before closure. Inform Liaison nurse of same
- Produce monthly Beneficiary Reports
- Generate Nurses active lists as required
- Provide up to date statistics for CEO, Nursing Team and Finance Department
- Maintain and Update databases
- Manage and update Nurses Volunteer list on Helix health system.
- Scan all files and documentation onto Helix
- Manage Archiving
- Manage the Garda Vetting as per the Foundations policy for the nursing team
- Book Holiday breaks for families
- Organise and oversee our annual Family Day
- Look for and embrace new systems to improve efficiency
- Manage Subject Access Requests as per the Foundation’s policy
- Order and send out PPE as required
- Carry out mail Outs
Skills and competencies required
- Minimum 3 years' experience in an office environment, ideally in a medical or healthcare setting.
- Proficient with MS Word, Excel, Outlook, One Drive and all office functions e.g. scanning etc.
- Previous experience using Helix Health or similar software is preferable.
- Understanding GDPR protocols and the ability to handle sensitive and confidential information.
- Demonstrable effective communication and interpersonal skills.
- Excellent written and spoken English.
- High attention to detail and accuracy under pressure
- Demonstrable evidence of organisation and data management skills.
- Adaptability and a flexible working approach
- An effective team member, however has the ability to work on own initiative.

Due to onsite training, the successful candidate will be required to work in the office on a full-time basis for a period of 4 months.
After this period, the successful candidate will be eligible for a Hybrid role – min 3 days in the office.
