What You’ll Be Doing
- Be the First Point of Contact: Greet patients warmly and manage their check-in process with professionalism and empathy.
- Keep Us Running Smoothly: Prepare and manage medical records for all clinics, theatre lists, and new patients.
- Be Organised and Precise: Enter and maintain accurate patient data.
- Support the Clinical Team: Print and update clinic lists daily, track appointment changes, and ensure clinicians have everything they need.
- Handle Sensitive Information: Manage confidential records in line with GDPR and Data Protection regulations.
- Coordinate Communication: Send appointment outcomes to GPs and opticians and arrange interpreters when required.
- Maintain Clinical Efficiency: Manage day plans, appointments, and medical record transfers to ensure nothing falls through the cracks.
- Create a Welcoming Environment: Help maintain clean, professional waiting and reception areas.
- Take Initiative: Respond proactively to inbox requests, feedback collection, delivery handling, and patient follow-ups.
- Own the Details: Archive medical records and keep our filing systems in top shape.
What We’re Looking For
Must-Haves:
- Outstanding customer service and communication skills
- Strong attention to detail and accuracy in data entry
- Confident using Microsoft Office and patient systems
- Proven multitasking and time management skills
- Flexible and proactive—ready to cover shifts or travel on short notice
- Discreet and trustworthy with confidential information
- Positive attitude, team spirit, and professionalism in appearance and behaviour
Nice-to-Haves:
- Experience private healthcare settings
- Familiarity with clinical admin systems
- Previous training or mentoring experience
