Description
We are seeking a professional Front of Office/Receptionist to be the welcoming face of our client who are a wealth management firm. This role is pivotal in creating a positive first impression for clients and visitors, while ensuring the smooth day-to-day running of front office operations.
This is a 4 month contract, and is based fully onsite in Dublin 4
Key Responsibilities
- Telephone & Visitor Management – Handle incoming calls and enquiries professionally; greet clients and visitors, ensuring meeting rooms are prepared and refreshments arranged.
- Post & Courier Coordination – Manage incoming and outgoing mail, including franking, DHL, and courier services.
- Meeting & Desk Bookings – Coordinate desk reservations, meeting room schedules, and parking arrangements.
- Office Supplies & Facilities – Monitor and replenish kitchen and stationery supplies; maintain a tidy and welcoming reception area.
- Administrative Support – Perform filing, scanning, and assist with mail merge letters and general office tasks.
- Access & Security – Manage building access cards and ensure compliance with any required health and safety protocols.
- Event & Hospitality Coordination – Organise catering for in-house meetings and ensure smooth execution of client-facing events.
- Continuous Improvement – Deliver work to a high standard, meet deadlines, and contribute to process improvements and service excellence.
Skills, Knowledge and Expertise
- Minimum 1 year experience in a receptionist or front office role, ideally within financial services or wealth management.
- Relevant Business administration qualifications
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficient in Microsoft Office Suite and general office systems.
- Professional appearance and demeanor.
- Ability to multitask and remain calm under pressure.
- Fluent English
