Overview of role:
We are currently recruiting a Facilities Manager at UPMC Aut Even Hospital. The Facilities Manager is responsible for the management of services and processes that support the core business of the hospital. The post holder ensures that the hospital has the most suitable working environment for its employees and their activities. This is a diverse position with a wide range of responsibilities; the post holders will be involved in both strategic planning and day-to-day operations.
Primary Duties and Responsibilities:
Main areas of responsibility include:
- Health and Safety (Including education and training)
- Building, Utilities and Grounds
- Management of external contract
- Support services (Housekeeping, Catering, Maintenance and Portering), Quality and Patient Safety
Buildings, utilities, grounds
- To ensure that the buildings and facilities are operated and maintained in accordance with statutory and or regulatory requirements
- Identifying and planning for future development needs in terms of buildings and utility infrastructure required to support the business objectives.
- Project managing, supervising and co-ordinating the work of contractors.
- To manage the planned maintenance and repair of defects in respect of buildings, fixtures and fittings, engineering equipment, utilities, medical equipment and gases, grounds.
Management of external contracts

- General Waste and Clinical Waste
- Grounds
- Maintenance
- Security
To be responsible for negotiating, managing and monitoring external contracts as detailed above, ensuring regular quality monitoring, value for money and compliance with any statutory or regulatory requirements.
In House Services
- Overall responsibility for the Housekeeping Department
- Overall responsibility for the Catering Department
- Portering
- Maintenance
- Manages and directs the operations of supervisors and their assigned workers.
- Manages the in-house services ensuring high standards or customer care are delivered at all times, that the service delivers value for money.
Health & Safety
- To be the responsible officer for Health & Safety. To develop, implement, monitoring and review of Health & Safety strategies, policies and procedures, risk assessments and safe working practices throughout the hospital.
- Lead the Safety Committee and Safety Representatives.
- To manage and co-ordinate health and safety activities within the hospital ensuring compliance with statutory and regulatory requirements.
- Conduct and supervise facility and site inspections, job hazards analyses and other evaluations to identify hazards and potential risks. Make recommendations to managers as required and implement appropriate corrective actions.
- Identify, plan, conduct or provide training to hospital staff on a variety of safety & health (including fire safety) and other risk management related areas.
Quality & Patient Safety
- To be the Hospital’s quality and patient safety lead for facilities management.
- To Lead on the Facilities Management Standards under the Joint Commission International Accreditation Requirements.
General Management
- To work constructively as a member of the senior management team to support the Hospital to achieve quality, safety and overall business objectives.
- Lead, organize and co-ordinate the work of the Facilities Department, ensuring the provision of a comprehensive, high quality service.
- Participate at meetings as required and brief department staff on hospital developments.
- Participate in the hospital’s Performance Planning Development Policy.
- Contribute to and participate in the Manual Handling Training Programme.
- Be actively involved in quality initiatives on a hospital wide basis.

Qualifications & Experience:
- A Third level qualification and evidence of ongoing professional development
- Diploma in Health and Safety or Equivalent or a willingness to undertake same
- 5 years Senior Management experience within a Healthcare environment or Service industry
- A proven track record in Facilities Management
- Experience managing external maintenance and service Contracts
- Experience managing external contractors including the coordination of work.
- Previous people management experience
- Experience managing risk within a commercial environment
- A working knowledge of safety principles and practices
- Demonstrate excellent listening and verbal communication skills.
- Display effective communication and interpersonal skills including the ability to work with other disciplines
- Able to work under pressure and deliver results to tight deadlines.
- Training development and delivery skills.
- Self-disciplined and ability to manage own time, to respond to changing priorities and workload to achieve targets.
- Willingness to adapt positively to change
- Excellent Time Management Skills
