Role Title: Home Support Scheduling Administrator
Reporting To: Home Support Manager or Designee
Based: Dublin 12
Purpose of the Role:
CareGivers Ireland are currently CareGivers Ireland are currently seeking Home Support Scheduling Administrator for our Dublin office. The successful applicant in this role will work closely with our Home Support Management team and our Home Care Assistants, ensuring seamless coordination, administration and scheduling of home care services to meet the needs of our clients and their families.
This role demands a highly organised and empathetic individual who can manage multiple schedules efficiently while ensuring high level of client care and satisfaction.
Primary Responsibilities:
· Coordinate and schedule home care visits of our Home Care Assistant (HCA) staff members to meet the needs of our clients, whilst considering location proximity, HCA skill sets, and client needs of care.
· Maintain and update our scheduling systems with accuracy to ensure appropriate staffing and client delivery of care.
· Communicate effectively with both staff and clients to inform them of scheduling changes, updates, and important information, and handle any scheduling conflicts.
· Work closely with our Home Support management team to understand client needs, preferences, and changes in condition to adjust care schedules when required.
· Handle incoming calls and schedule queries from clients and staff, providing timely responses and solutions, through excellent customer service skills.
· Monitor HCA punctuality, ensuring the highest quality of care.
· Handle urgent scheduling needs or changes, providing solutions promptly.
· Maintain confidentiality of all client and staff information.
· Provide exceptional customer service to our clients and their families by responding to queries or concerns in an efficient manner ensuring a high level of client satisfaction.
· Perform administrative support such as but not limited to data entry, file management and communication / documentation preparation to support the efficient operation of the Operations department
· Provide supports to Food Services as required.
Key Skills, Competencies & Requirements:
· Experience in using scheduling software
· High level of proficiency in Microsoft Office is desired, with further certification in administration is a plus.
· Proven experience of at least a minimum of one years’ experience working in an administrative support role within a busy dynamic office environment
· Proven experience in scheduling, administrative support, or a similar role, preferably in a healthcare or home support setting is a distinct advantage
· Excellent organisational and time management skills, with the ability to prioritise tasks and handle multiple responsibilities simultaneously.
· Strong communication and interpersonal skills, with an emphasis on empathy and professionalism.

· Excellent organisational skills, with the ability to manage multiple schedules and prioritise effectively, working under time pressure and towards deadlines.
· Strong interpersonal and communication skills with the ability to provide clear and professional communication (both written and verbal) to clients and staff
· Proficiency in technology and scheduling software
· Ability to work independently and as part of a team in a busy challenging and progressive environment.
· Ability to maintain confidentiality and handle sensitive information with discretion.
