At Gibson & Associates LLP, we are seeking an Admin/Legal Office Clerk to support the day-to-day operations of our dynamic legal practice. This is a fantastic opportunity for someone with strong administrative skills who enjoys being a key part of a busy and supportive team.
Key Responsibilities:
- Mail & Courier Management: Handle all incoming and outgoing post, DX, and courier services efficiently.
- Financial Administration: Manage petty cash, bank lodgements, and reconcile Pleo card transactions.
- Office Coordination: Maintain office supplies, coordinate IT/laptop repairs, and ensure smooth daily functioning of the office.
- Client Support: Assist with client meetings, prepare documentation, and act as a helpful point of contact.
- Departmental Support: Provide administrative help across Legal, Marketing, Sales, and other departments including court filing and document prep as needed.
- Meeting Coordination: Arrange rooms, refreshments, and equipment for meetings and events, both internal and external.
- General Admin: Draft basic correspondence, assist in maintaining both digital and physical client files, and uphold confidentiality.
- Other Duties: Support ad-hoc projects, adapt to new tasks, and assist wherever needed to ensure seamless office operations.
What We’re Looking For:
- Leaving Certificate or equivalent (essential)
- Experience in a legal or professional office environment (desirable)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with office equipment (scanners, copiers, etc.)
- Bonus: Exposure to legal software or case management systems
