Personal Assistant to Director of People & Culture
Permanent, 39 hours per week
Location: Park West, Dublin
Hybrid – 2 days in the office and 3 days working remotely. Please note: flexibility is required for this role, as there may be additional days required in the office for meetings.
About the Role:
To provide comprehensive administrative support in a well-organised and timely manner to the Director of People and Culture and the wider People and Culture Leadership Team. Performing tasks necessary to keep projects running smoothly, such as record keeping, resource coordination, scheduling, and ensuring compliance with government and safety regulations. To work in co-operation with the Director in the provision of an effective service to external contacts and internal customers within the various divisions and companies of the Rehab Group. To be the internal HR link with the Department of Public Affairs, Communications & Fundraising in relation to Internal Communications.
Reporting to the Director of People and Culture.
Key relationships that will influence the success of the role: People and Culture Leadership Team and the wider Department, Communications, Public Affairs & Fundraising Team, Finance Team, CEO’s Office.
What We’re Looking For:
- Proven work experience as a personal assistant at senior level.
- Experience of managing projects, events and large multi-functional meetings in a complex stakeholder environment.
- A track record of handling multiple competing priorities in a busy & challenging environment.
- Experience in making informed independent decisions displaying high levels of initiative.
- Able to work successfully in a team environment in person and with remote colleagues, building effective working relationships & creating a positive working environment
- Confident and assertive, with a high level of integrity.
- The ability to maintain the confidentiality of highly sensitive material with tact and professionalism.
- Proficient in Microsoft Office (Excel, Word & PowerPoint) and excellent working knowledge of a wide range of communications solutions.
- High degree of efficiency, attention to detail & excellent organisational skills.
- Excellent written & verbal communications skills.

Your Responsibilities:
- To be the point of contact for both in-house and external queries for the People and Culture Leadership Team, often having to make decisions on behalf of the Team and correspond / follow up and track actions taken on the Teams behalf to ensure the smooth running of the office.
- To act as the Internal link between the HR Department and the Department of Communications, Public Affairs & Fundraising in relation to all Internal Communications in order ensure effective and consistent communication throughout the Company.
- To provide a comprehensive administrative back-up and support service to the People and Culture Leadership Team to ensure the efficient running of the office, to include: drafting of responses to letters; typing and layout of correspondence, preparation and co-ordination of reports and presentations, filing, preparation for meetings that the Director is attending to include preparation of all meeting documentation as required, mail merges, requisitioning of stationery, co-ordination of travel arrangements, researching relevant information.
- Full diary management for the Director, including management meetings, conferences, events, review of itineraries and making all travel arrangements for the Director to ensure accurate scheduling and organization.
- The management of the office environment to ensure confidentiality, efficiency and effectiveness and a professional service orientated environment.
- Responsible for managing ad-hoc projects including scheduling regular meetings, recording decisions (e.g. assigned tasks and next steps) and breaking the projects into doable tasks with timeframes and goals.
- Exercise sound judgment, tact, diplomacy, integrity to ensure professionalism in all transactions to include communicating and working with confidential and sensitive information.
- Specific responsibility for the management of income protection applications for those on long-term sick leave, including acting as key liaison with personnel and line management, issuing of benefit claim forms and follow up with applicants and other relevant parties and the production and retention of relevant data.
- Accompanying the Director to meetings and business appointments in order to take minutes and note actions.
- Track and process department invoices, expenses reports and other financial documentation.
- Maintenance of the staff attendance records, including annual leave, sick leave, paternity and maternity leave.
- Super User of the policy management software, Metacompliance. Ensuring the HR policies and procedures are updated prior to expiry, uploading the policies to the Metacompliance system, tracking and report of attestation and responses from staff.
Additional Requirements:
- Educated to diploma/certificate level in a relevant discipline or equivalent experience
Salary is €40,000 - €47,000 and is subject to negotiation depending on experience and qualification.
