The Maintenance Administrator is pivotal in ensuring the seamless operation of maintenance activities, acting as the central liaison between clients, maintenance teams, and internal stakeholders. This role encompasses the efficient management of maintenance requests, scheduling, documentation, and communication to uphold service excellence and operational efficiency. This role is being offered as a fixed contract which could lead to a permanent role.
Key Responsibilities
Respond promptly to inbound maintenance inquiries via phone and email, providing clear and professional communication
Accurately create and update maintenance records within the organization's CRM system, ensuring data integrity and accessibility
Collaborate with landlords, tenants, and portfolio managers to schedule maintenance tasks, minimizing disruption and ensuring convenience.
Maintain comprehensive records of all maintenance activities, including job details, completion status, and associated costs
Assist in the procurement of materials and services, obtaining quotes and managing supplier relationships.
Skills & Qualifications
Minimum of 2 years in a maintenance administration or facilities management role
Familiarity with CRM systems and maintenance management software.
Strong attention to detail and the ability to manage multiple tasks simultaneously.
Relevant qualifications in business administration, facilities management, or a related field are advantageous
