Charter Medical Private Hospital (CMPH) is a 77-bed surgical hospital located on the outskirts of Mullingar with four operating theatres and an endoscopy unit. We provide a wide range of surgical care across multiple specialties and offer 24/7 Stepdown, Minor Injuries, and Rapid Access services in collaboration with the HSE.
As part of our commitment to quality and continuous improvement, we are currently recruiting for an experienced Quality & Risk Administration Assistant to join our team and support our growing Quality & Risk Management function.
Role Summary
The Quality & Risk Administration Assistant will play a key role in supporting the hospital’s quality, risk, and compliance initiatives. Reporting directly to the Quality & Risk Manager, this is a cross-functional position with high visibility across both clinical and non-clinical departments.
Key Responsibilities
- Provide administrative support to the Quality & Risk team and related committees (e.g., Quality Improvement, Clinical Governance, Accreditation).
- Assist in managing the hospital's incident and risk reporting system, ensuring timely data entry, tracking, and escalation.
- Coordinate internal audits and quality improvement initiatives across departments.
- Compile and analyse quality and safety data, including patient complaints, infection control, and clinical audits.
- Maintain records to support accreditation and regulatory compliance (e.g., HIQA, HSE, HSA, CHKS).
- Support document control procedures, including versioning and policy distribution.
- Act as liaison for quality-related queries from internal stakeholders.
- Provide logistical support during audits, inspections, and accreditation surveys.
- Ensure confidentiality and integrity of all sensitive documentation and data.
- Coordinate and publish regular staff updates in collaboration with the Q&R Manager.
Essential Criteria
- Completion of Leaving Certificate and recognised computer qualification.
- Minimum 2 years' experience in an administrative role, preferably in healthcare or a quality/compliance environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office and excellent data handling/reporting ability.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- High attention to detail, accuracy, and organisational skills.
- Understanding of GDPR and confidentiality obligations.
- Experience supporting quality or risk functions is highly desirable.
- Flexible approach to work, including availability for occasional overtime if required.
