Tech-Savvy Personal Assistant to CEO & Head of Operations (HealthTech)

Role Summary
You will serve as the right hand to the CEO and Head of Operations, providing high-level administrative support and enabling them to focus on strategic priorities. This is a varied and fast-paced role that requires exceptional organisation, discretion, and fluency with digital tools and systems.
We're looking for someone who is ambitious, resourceful, and hands-on — the kind of person who rolls up their sleeves and gets stuck into projects both big and small. You’ll need to be a good communicator, naturally proactive, and eager to go the extra mile to support the leadership team and the broader business. This is a role for someone who is excited by variety and loves being the person who just “gets things done.”
Key Responsibilities
Operations & Project Support
- Provide day-to-day administrative support to the CEO and Head of Operations
- Assist with project coordination: task tracking, meeting preparation, managing shared documentation, and following up on action items
- Support internal communications across teams and help maintain accountability on cross-functional projects
- Administer and maintain operational platforms including BambooHR, Hubspot, Google Workspace, Zendesk, and Xero
- Track key operational and clinical KPIs, compiling updates and insights via Google Sheets or dashboard tools
- Manage SaaS subscriptions and vendor contracts: including license tracking, renewal dates, access management, pricing, and documentation
- Handle light finance/admin tasks such as invoice tracking, contractor agreements, and reconciliations
Operational Planning & Coordination
- Support clinician scheduling and capacity planning to enable scalable, high-quality care delivery
- Coordinate onboarding/offboarding for employees and contractors (equipment, systems access, documentation, checklists)
- Support monthly payroll processes for contractors and ensure accuracy of hours and approvals
- Proactively identify issues, gaps, or opportunities — solving problems before they escalate
What You Bring
- 2+ years experience in a PA, EA, or business support role, ideally supporting senior executives
- Experience in a startup, HealthTech, or fast-scaling digital business is a major advantage
- Tech-savvy and comfortable learning new tools (e.g. Notion, Airtable, Slack, Zapier, Google Workspace)
- Highly organised with the ability to juggle multiple priorities in a calm, structured way
- Excellent written and verbal communication skills — clear, concise, and professional
- A proactive, can-do mindset — no task too big or too small
- Discreet, trustworthy, and committed to supporting others
