Purpose of the Role
The Treatment Coordinator (TCO) plays a vital role in supporting the delivery of exceptional dental care by guiding patients through their treatment journey with empathy, clarity, and professionalism. The TCO acts as a liaison between patients and clinicians, ensuring a seamless, informed, and supportive experience—from first inquiry to final follow-up. At D4Dentist, where personalised care and digital innovation go hand in hand, the TCO is key in enhancing patient understanding, trust, and treatment acceptance.
Key Responsibilities
Patient Journey & Experience
- Conduct complimentary consultations (in-person, video, or phone) to assess patient goals, concerns, and medical history.
- Responding to emails sent by patients and calling new patient leads who contact us via telephone or email in a timely manner
- Explain treatment options using visual aids, digital scans, and before-and-after cases.
- Reassure, educate, and support patients throughout their decision-making process.
- Manage all pre- and post-consultation communication.
- Build trust and rapport to increase treatment acceptance and patient satisfaction.
Clinical & Administrative Liaison
- Interpret treatment plans and explain clinical terminology in accessible language.
- Ensure all consent forms, documentation, and financial agreements are completed and stored properly.
- Inform patient regarding FTA policy, Late cancellation policy, Payment Policy, Complaints policy
- Coordinate handovers between clinicians, nurses, and front-of-house teams.
- Schedule follow-ups and assist with recall systems filling clinicians and hygienist book.
- Liaise with front-of-house and clinical staff to keep diaries filled and efficient.
Sales & Conversion
- Track treatment uptake and generate monthly reports on conversion rates.
- Promote high-value treatments (e.g., cosmetic, orthodontic, whitening).
- Provide financial information, including payment plans and deposit requirements.
- Encourage patient referrals and explain referral incentives.
- Follow up with undecided patients to support conversion (booking appointments).
Marketing & Content
- Collect video testimonials, written reviews, and patient satisfaction surveys.
- Contribute to social media planning, posting, and brand representation.
- Assist with thank-you cards, newsletters, and internal marketing materials.
Required Skills & Attributes
- Strong interpersonal and communication skills.
- Sales and/or customer service experience.
- Dental knowledge (previous dental or TCO experience ideal).
- Ability to work independently and as part of a team.
- Proficient with dental practice management software (e.g., Dentally) and digital tools.
- Organised, empathetic, and confident in patient-facing roles.
Desirable Qualifications
- Previous experience as a Treatment Coordinator or Dental Nurse.
- Familiarity with digital dentistry tools (iTero, digital photography).
- Marketing or content creation experience is an advantage.
Working Hours
Full-time hours (4 days per week Mon-Thurs) with some flexibility required (1 evening per week) . Must be available for team meetings, occasional training days, and daily huddles.
Job Types: Full-time, Permanent
Pay: €16.00-€20.00 per hour
Expected hours: 32 per week
