OVERVIEW:
We are seeking a highly motivated and experienced Administrator to provide Company Secretarial support to join our Corporate Services Department at Tuath Housing Association ("Tuath"). This is a full-time position, reporting to the new Company Secretary.
As administrative support, you will play a crucial role in ensuring that Tuath adheres to ethical standards, best practices, and relevant laws. You will act as the link between Tuath's Board and Executive Team, providing corporate governance support services and assistance under the direction of the Head of Governance/Company Secretary.
Your key responsibilities will include:
Organise and attend meetings of the Board, its Committees and Working Groups
Oversee the collation of agendas for meetings, comprehensive minute taking and circulation of minutes
Prepare and circulate Board and Committee Meeting packs and follow up with internal stakeholders in meeting deadlines for Board
Maintain action lists, Board information and records and preparing statutory and other reports for relevant stakeholders both internal and external
Collate and maintain regular KPIs and KRIs for reporting to the Board
Keep the Board up to date with all relevant correspondence and communication
Act as a point of contact for general Board queries
Develop and maintain a directory of template documents for Board and ensure that they are used in a compliant manner
Maintain the BoardEffect Governance system, including libraries and news feeds
Maintain a statutory filing system (including RBO, Companies Act, Charities Regulator and AHBRA requirements) and assist with regulatory returns
Executive Support
Provide support where necessary to the Chief Executive and Senior Management Team
Keep the Chief Governance Legal and People Officer and the Head of Governance/Company Secretary up to date with all correspondence and communication
Attend internal meetings, take minutes, compile information and prepare reports from notes and data collected
Liaise with a wide range of internal and external contacts, acting as a key contact point for the Board Members
Review policies and procedures on a regular basis and report to the Head of Governance/Company Secretary on statistics and make recommendations for improvements
Other Duties
Assist with the co-ordination of staff days, conferences, training and other events
Develop and assist in designated Special Projects at the request of the Senior Management Team
Develop a culture of 'constant improvement' in compliance with specific focus on process, controls and systems
