Role Overview
We are seeking a highly organised and detail-oriented Financial Administrator to support the daily financial operations of our growing business. The successful candidate will play a key role in invoicing, creditor management, VAT and RCT processing, and maintaining accurate financial records. This role also involves assisting with SEAI grant administration, making it ideal for someone who enjoys variety and working in a collaborative, fast-moving environment.
Key Responsibilities
Invoice Management & Payments
- Generate and issue high volumes of customer invoices accurately and on time.
- Track and follow up on outstanding payments, ensuring timely cash collection.
- Reconcile payments received and maintain up-to-date records.
- Manage supplier invoices and assist with accounts payable processes.
- Liaise with customers and suppliers regarding payment queries and discrepancies.
Tax Compliance (RCT)
- Manage RCT compliance for subcontractor payments, including verification, deduction, and monthly return submissions.
- Maintain supporting documentation for all VAT and RCT filings.
Financial Administration
- Maintain accurate financial records and spreadsheets.
- Support weekly and monthly internal reporting for management.
- Assist the Finance Manager with bank reconciliations, month-end processes, and ad-hoc financial analysis.
- Ensure systems and records are audit-ready and compliant.
SEAI Grants Administration
- Coordinate and manage documentation for SEAI grant applications and claims.
- Ensure full compliance with SEAI guidelines and reporting requirements.
- Liaise with internal teams and external stakeholders to track and process grants.
- Maintain records of grant-related expenses and claims.
General Duties
- Support continuous improvement of finance and administrative systems and processes.
- Assist with general office administration as needed.
Key Requirements
Essential:
- Previous experience in a financial administration, finance assistant, or accounts role.
- Solid experience with VAT and RCT compliance and submissions.
- Proficiency in Microsoft Excel and accounting software (e.g. Xero).
- Excellent attention to detail and organisational skills.
- Strong communication and interpersonal abilities.
- Ability to handle high transaction volumes and meet tight deadlines.
Desirable:
- Experience with SEAI grant processes or public funding administration.
- Familiarity with construction/renewable energy or retail sector finance.
- Previous experience in a fast-paced SME or scale-up environment.
