Situated in the heart of Castlecomer, County Kilkenny, our 30-bedroom boutique hotel presents a distinctive combination of charm and modern amenities. As we prepare for an exciting expansion to incorporate additional rooms in the upcoming year, we are in search of a proactive Front Office Manager to oversee our front-of-house operations, all accommodation services, and ensure that our guests receive exceptional experiences from check-in through to check-out.
Role Overview
The Front Office Manager will be responsible for managing all front desk operations, overseeing all activities associated with rooms—including accommodation services and the night porter team—facilitating efficient check-in and check-out procedures, managing reservations, and leading a dedicated team committed to delivering exemplary customer service. This role is crucial in shaping the first and last impressions that our guests have of our hotel.
Key Responsibilities
- Team Leadership: Recruit, train, and manage front office staff—including reception, accommodation assistants, and night porters—while fostering a positive, service-oriented, and efficient work environment.
- Guest Services: Ensure that all guests receive a warm welcome and prompt assistance throughout their stay. Oversee coordination between front office and accommodation services to deliver a seamless guest experience.
- Reservations & Room Coordination: Collaborate with the reservations/revenue team at our sister property, the Academy Plaza Hotel in Dublin, to oversee all room bookings, optimize occupancy rates, and coordinate closely with housekeeping and accommodation services to ensure room readiness and presentation standards.
- Accommodation Oversight: Take full responsibility for the performance, scheduling, and standards of the accommodation team and night porters, ensuring that rooms and public areas meet cleanliness, presentation, and guest safety expectations at all times.
- Night Operations: Supervise night porters to ensure a consistent standard of guest care and security is upheld overnight, and that all night procedures—including night audits and early departures—are completed accurately and efficiently.
- Financial Oversight: Manage billing processes, accurately handle cash and card transactions, and maintain financial records in accordance with hotel procedures.
- Operational Excellence: Develop and implement standard operating procedures (SOPs) across front office and accommodation teams to enhance efficiency, consistency, and service quality.
- Collaboration: Work closely with all departments, particularly Kitchen and food & beverage, to ensure that guest needs are addressed promptly and cross-departmental operations run smoothly.
- Feedback Management: Professionally address guest feedback and complaints related to both front desk and accommodation, implementing corrective actions and service improvements as needed.
Qualifications and Experience
- A minimum of two years of experience in a supervisory or managerial role within the front office or rooms division of the hospitality industry.
- Proficiency in hotel management software (e.g., Hotsoft, Opera) is preferred.
- Strong leadership and team management capabilities, including experience with managing night staff and housekeeping/accommodation services.
- Exceptional communication and interpersonal skills.
- Proven ability to multitask and maintain composure in high-pressure situations.
- Flexibility to work various shifts, including weekends, nights, and holidays.
