The IRFU are inviting applications for the role of IRFU Performance Department Administrator .

The successful candidate will provide high-quality administrative and logistical support to the IRFU Performance Department, specifically assisting the Performance Director, Head of Women’s Performance & Pathways, and the Head of Elite Player Development (Men’s).

The position is being offered on a full time, 2 year fixed term contract basis. The role is based at the IRFU High Performance Centre, Sport Ireland Campus, Dublin 15.

POST TITLE: Performance Department Administrator

ROLE SUMMARY: The Performance Department Administrator provides high-quality administrative and logistical support to the IRFU Performance Department, specifically assisting the Performance Director, Head of Women’s Performance & Pathways, and the Head of Elite Player Development (Men’s). This role ensures the efficient day-to-day functioning of key performance programs by managing operations, documentation, communications, and logistics, with a specific focus on reducing the administrative burden on strategic leaders within the Performance Department.

REPORTING TO:

  • Operational & Functional: Performance Director, IRFU, Head of Women’s Performance & Pathways, and the Head of Elite Player Development.

KEY WORKING RELATIONSHIPS:

  • Head of Women’s Performance & Pathways
  • Head of Elite Player Development (Men’s)
  • Head of Performance Development
  • Team Services and Logistics Staff
  • HR, Finance, and Contracts Teams

KEY RESPONSIBILITIES:

1. Administrative Support

  • Manage calendars, schedule meetings and provide day to day administrative support to PD, HoWPP & HoEPD
  • Work with the Head of Performance Development to ensure alignment between operational delivery and strategic priorities, acting as the primary administrative and logistical support resource for the department.
  • First point of contact for administrative queries from performance staff.
  • Minute taking – concise and accurate performance department meeting notes
  • Process and track all expense claims from staff and players.

2. Operational & Logistical Planning

  • Support the coordination of training camps, national camps, and competition logistics across men’s and women’s pathways in conjunction with respective Team Managers.

3. Financial & Budget Tracking

  • Maintain accurate records of financial transactions, including invoice payments and staff/player expenses.
  • Facilitate and support the effective management of the high-performance budget by overseeing purchase order creation and approval, ensuring correct budget allocation.

4. Communication & Coordination

  • Work collaboratively with Performance Director, Head of Women’s Performance & Pathways & Head of Elite Player Development to ensure all operational aspects of programs run smoothly.
  • Ensure the secure management of confidential data, including athlete files, contractual documents, and selection-related communications

PERSON SPECIFICATION:

Essential Skills & Experience

  • Proven administrative experience in a high-performance or fast-paced environment, ideally within sport.
  • Exceptional organisational skills, with the ability to manage multiple calendars, coordinate logistics, and prioritise tasks effectively.
  • Familiarity with high-performance planning cycles, including camps, competitions, and athlete support services.
  • Strong attention to detail, particularly in minute-taking, expense tracking, and document management.
  • Excellent communication skills, both written and verbal, with the ability to liaise professionally across departments and with external stakeholders.
  • Experience supporting senior leadership or strategic roles.
  • High level of discretion and confidentiality, especially when handling sensitive performance data, contracts, and athlete information.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with shared platforms such as OneDrive or SharePoint.
  • Experience in financial administration, including invoice processing, budget tracking, and purchase order management.
  • Ability to work independently and as part of a team, with a proactive and solution-focused mindset.

Desirable Skills & Experience

  • Experience working within a sports performance or athlete development environment.
  • Understanding of governance and compliance in a sporting context.
  • Knowledge of IRFU structures, or experience working within a national governing body or similar organisation.

PERFORMANCE INDICATORS:

  • Reduced administrative workload for Performance Director, Head of Women’s Performance & Pathways, and the Head of Elite Player Development (Men’s)
  • Effective stakeholder management
  • Adherence to budgetary controls and administrative deadlines.
  • Effective communication and logistical execution for all supported programs.
  • Timely and accurate completion of operational tasks.

The successful candidate must be eligible to live and work in Ireland.

Salary for this role is depending on experience.
