The organisation:
The Franciscan Province of Ireland are a “Fraternity in Mission”, inspired by the life of St. Francis to bring the Gospel of Joy and Grace to the world. The friars of the Irish Province are members of the Order of Friars Minor, a Franciscan brotherhood inspired by the 13th Century example of St. Francis of Assisi.
The role:
This is a pivotal role in an environment where no two days are the same. Duties will include – but are not limited to – general office administration; responsibility for data management and all matters relating to GDPR; maintaining personal files of members of the Province; day-to-day management and supervision of CRA governance requirements; organisation of some events; overall responsibility for production of newsletters, cards etc.; indexing and archiving documents of an historical nature; organisation of various meetings for members of the Province and administrative support to the leadership team; ad hoc support to members of the Province.
The individual:
The successful candidate will have an ability to think in a clear and persuasive manner; be an excellent communicator – both written and verbal and be motivated with an aptitude for problem solving. Confidentiality in all aspects of work is crucial. Given the varied nature of the role, good organisational skills must be demonstrated. Competence in all dimensions of MS Office Suite is essential, particularly with Publisher and PowerPoint. You will be crucial in ensuring the smooth operation of the office. Some experience with the organisation and workings of an archive would also be a huge advantage. As this position is often the first point of contact for either members of the public or the province a welcoming disposition is essential and a demonstrable problem solving ability a huge asset.
Responsibilities
- Manage daily office operations, ensuring a welcoming and efficient environment.
- Perform clerical duties including filing, data entry, and document management.
- Answer incoming calls with professionalism and direct them to the appropriate personnel.
- Assist in scheduling appointments and coordinating meetings for staff members.
- Utilise Google Suite for creating documents, spreadsheets, and presentations as needed.
- Support the team with administrative tasks to enhance productivity.
- Organise office supplies and ensure all necessary materials are readily available.
Requirements
- Proven experience in an administrative or clerical role is preferred.
- Proficiency in Google Suite applications (Docs, Sheets, Drive).
- Archival experience a distinct advantage.
- Strong organisational skills with the ability to manage multiple tasks efficiently.
- Excellent phone etiquette and communication skills.
- Attention to detail with a focus on accuracy in data entry tasks.
- Ability to work independently as well as part of a team.
- A positive attitude and willingness to learn new skills.
