Office Administrator - Full time - Office Based
What we do
Facility Flooring provides technical flooring products to the Construction, Property, Retail and Commercial industries. We’re an innovative company with an in-depth knowledge specifically targeted at floors and substrates. We work with construction companies, property managers, architects and designers as well as flooring companies and directly with businesses providing them with individual solutions to meet their requirements.
We are looking for a full time Office Administrator to organise material for projects and assist the site team. This role's duties will include but are not limited to:
- Placing and managing orders from start to completion
- Working as part of the team,
- Answering phone calls
- Filling out and sending back paperwork to clients and suppliers,
- Understand material requirement
- Place orders following company guidelines: create purchase orders, organise deliveries, follow them up until they arrive to site through phone calls and emails
- Organising and tracking deliveries,
- Understanding projects
- Keeping track of material purchases and usage on site - cost awareness,
- Communicating with the contracts manager and the installers. Making sure that their site safety certification is up to date. Booking safety training, inductions etc.,
- Create Job Site Folders in Hard Copy and Soft Copy,
- Ordering material for projects,
- Keeping contact with the site teams, suppliers and clients
- And other general administration duties/project related tasks as assigned by management.
- Book keeping

Who you are
- A people’s person - with great communication skills, a positive attitude. Confident to follow orders & deliveries over the phone and a track record for optimizing processes.
- Structured and Organised - excellent at keeping paperwork and schedules up to date, meeting with deadlines.
- Competent - excellent PC skills, Excellent Excel knowledge and strong administration is important.
- Responsible –take full responsibility for your own tasks and role including making decisions on your own.
- Open to learn ability and interest to learn and understand technical products and solutions. A keen eye for detail.

Minimum requirements
· Fluent English - spoken and written
· Proficient in Microsoft Excel
· Excellent telephone manner and communication skills
· Work well on your own and as part of team
· A high level of Organisation
· Own transport is essential due to the location of the workplace.
Schedule
Full-time Monday to Friday 7.00-15.30 or 8.00-16.30
