Role Overview

As Sports and Events Coordinator, you will be the key point of contact for professional and amateur sports teams-including rugby, soccer, and GAA-who choose The Johnstown Estate for training camps, match-day stays, and recovery breaks. You will also support the delivery of corporate events, social gatherings and conferences. This is a client-facing, fast-paced role requiring creativity, coordination and a strong sense of hospitality.


Key Responsibilities

Sport & Event Planning

  • Exhibit a professional and positive attitude in all interactions with clients, whether in person, over the phone, or through email
  • Coordinate the end-to-end planning and delivery of sporting and corporate events in partnership with the Sales team.
  • Act as the main liaison for incoming sports teams and corporate clients, understanding and delivering on their unique requirements.
  • Ensure team needs such as privacy, dietary requirements, secure access, and flexible schedules are met with precision
  • Liaise with team management to customize accommodation, catering, transport, training schedules, and recovery support
  • Uphold a high level of regular, frequent, accurate and timely communication to all related departments regarding the Sports & Events sales within the hotel
  • Build and maintain strong client relationships, ensuring a high conversion rate of leads to confirmed bookings
  • Accurately document requirements, timelines, and changes to ensure clarity for all and brief internal departments with clear communication
  • Be present on certain event days to ensure flawless execution and align with hotel's brand standards
  • Prepare and track quotes, contracts, and invoices
  • Manage customer satisfaction post-event by handling feedback and resolving any issues promptly and effectively


Candidate Requirements

Essential Skills & Attributes

  • Previous experience in sports or event coordination, ideally within a hospitality or hotel setting.
  • Excellent written and verbal communication skills with the ability to engage across all levels.
  • Outstanding attention to detail with a strong focus on customer satisfaction.
  • Clear thinker with excellent communication abilities and attention to detail Competent in Microsoft Word & Excel
  • Ability to work as part of a collaborative team as well as independently.
  • Ability to assess, priorities, and manage a varied workload under strict deadlines.
  • Confidence and resilience under pressure; calm and solutions-focused in fast-moving environments.
  • Strong organisational and time-management skills with a pride in delivering a high-quality service.
  • Personal drive, enthusiasm, and a positive outlook.
  • Flexibility to work on certain evenings or weekends depending on event schedules.
  • A genuine interest in sports and understanding of team dynamics is highly desirable.
