Role Overview:
We are seeking a proactive and organised Full-Time Business Admin Assistant to join our dynamic team. This role will play a key part in supporting the smooth running of the business by managing administrative tasks, coordinating events, and ensuring the team operates efficiently. You will contribute to maintaining a positive and productive workplace environment.
Key Responsibilities:
Administrative Support
- Process employee expenses and timesheets promptly and accurately.
- Manage supplier invoices, ensuring timely approvals and payments.
- Provide day-to-day administrative assistance to the Company Owner and Director of Operations.
- Assist in maintaining & filing company records and documentation.
- Support with preparing reports and presentations as required.
Bookkeeping & Financial Administration
- Maintain accurate financial records and transactions using Xero and Hubdoc software.
- Responsible for bookkeeping tasks, including reconciliations and expense tracking
Office Management
- Maintain and monitor office supplies, placing orders as needed to ensure the team has what they need to work effectively.
- Keep the office environment organised and running smoothly.
Calendar & Project Admin Coordination
- Manage the company calendar, scheduling meetings, project deadlines, and other important events.
- Organise and coordinate employee events and team-building activities.
Marketing & CRM Management
- Assist with social media posting and basic marketing administration.
- Update and maintain the customer CRM system to ensure accurate records.
- Keep the company’s photo and video library managed and up to date.
- Regularly update and maintain portfolio decks to showcase our latest work.
Research
- Assist in conducting research projects delivering reports on findings.
Qualifications & Skills:
- Proven experience in an business administrative role in a small business/start up environment with a keen interest in varied tasks from processing expenses to posting on social media.
- Bookkeeping & basic marketing/social media experience an advantage
- Proficiency in Xero (or similar accounting/book keeping software) advantage
- Strong organisational skills with exceptional attention to detail.
- Proficiency in Google Workspace (Calendar, Email, Docs, Sheets, Slides etc) and other relevant tools.
- Familiarity with project management software (e.g. ClickUp, Asana, Monday.com) is highly advantageous.
- Ability to handle multiple tasks and prioritise effectively in a fast-paced setting.
- Excellent verbal and written communication skills.
- A proactive and solutions-focused attitude, with the ability to work both independently and collaboratively.
