IT Administrator
Job Description
The position of IT Administrator at the University’s Global at Kylemore is for a candidate who has excellent organizational skills, the ability to prioritize, is flexible and hospitable. This full time position is for a person who has natural flexibility in handling day-to-day routines as well as surprises. The IT Administrator must be confident to work independently and personable to be able to function within a team. Key to this role are excellent communication skills and administrative capabilities, ability to prioritize and a willingness to provide strong, reliable support for operations. The IT Administrator’s responsibilities include maintaining employee safety, security, policies and best practices. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.
- Oversee reception, welcome visitors to the office and ensure a friendly, personal experience
- Ensure peak operations for the organization and implement preventive measures for potential issues
- Implement policies and procedures, measure outcomes against standards, and improve operational flow
- Coordinate internal and external resources, and cultivate relationships with vendors
- Respond to requests and questions about programs, manager bookings and all of the office operations
- Responsible for the centre’s daily operations
Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
Oversee day-to-day office activities as the main point of contact at reception, and keep management informed regularly via performance reports; attendance records, visitors and service log books. The IT Administrator will respond and/or direct all general inquiries received through the main phone number and Kylemore main email address.
Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining accounting systems which include A/P andA/R; mailing and shipping packages; and updating contacts database and employee lists. The qualified candidate will have finance experience that includes bookkeeping, invoicing and preparing financial reports.
Oversee and maintain all of the office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate deliveries when requested to and from the centre.
Manage all aspects of space/infrastructure planning (includes movement of furniture, communication to campus regarding Office of Information Technology and av equipment) and provide answers, resources, and solutions when requested
Maintain, foster and build a good working relationship with the Kylemore estate employees, managers and executives and the Benedictine community.
Manage access and oversee health safety and security on the estate.
Maintain the Kylemore Programs Calendar and communications of said calendar with all of the Global Centre’s constituents.
To keep track of carbon emissions and find ways to reduce it, with a carbon tracker. Track how much energy we consume, turn off lights, monitor shower times and Solar Panels. Keep track of emissions via energy output measuring the utilities, travel, and waste.
- Two or more years of experience in office management
- Strong time-management and people skills
- High degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
- Bachelor’s Degree or equivalent
- Experience in developing internal systems
- Advanced computer skills and experience with online platforms
- Knowledge of Best Practices concerning GDPR
- Experience in Sage or QuickBooks accounting software
- Friendly, hospitable and willing to act in an ambassadorial role representing the University at Kylemore
