JOB PURPOSE

As Healthcare & Healthcare Operational Care Specialist within the OCC, you will assist and communicate with the CCL on various

administrative tasks related to Air Logistics shipments. You execute the necessary bookings with our partners and gateways. You

execute the requisite data entry in our system associated with transport document generation in a correct and timely fashion (thus

guaranteeing no delays due to missing or incorrect information). You liaise with our customer care specialists to ensure specific

requirements are met (transit times, carrier selection, routings, etc.) as well as are responsible to coordinate, collaborate and

communicate with colleagues in shared service centres resolving internal issues when they might occur. Finally, you take final

responsibility for the correct delivery of all necessary paperwork in line with the current KN operational and legal standards. Completion

of all operational KPIs are under your responsibilities and vital to the success of customer satisfaction.

As a member of the KN Healthcare Team, the Operational Care Specialist will also be required to maintain the correct level of training

as outlined by the Station Lead and National Airfreight Trainer.

MAIN DUTIES

1. Coordinate and align customer deliverables with customer care teams, partners and suppliers to manage the

transportation of customer's cargo

2. Ensure that at the moment of every shipment, a quotation is in place and correct in the system QTAir, so you can easily

process the shipment without entering any charge manually.

3. Receive, analyze and interpret customer’s requirements and look for the best operational options to meet their needs.

4. Handle customer specific reporting tasks and maintain client / cargo specific checklists.

5. Execute Import or export tasks that are assigned to you within our operational system (Based on BPA) such as order

entry and opening / file preparation including gathering, controlling and inputting data in the Order Entry. Systems’

functionalities should be used for improving your productivity (Shipment templates, Data Wallet, etc.) in order to create

Airwaybills (HAWB, MAWB, IATA)

6. Prepare and follow up on the necessary documents for your shipments and upload them into AirLOG whenever it’s

necessary.

7. Process all Bookings and interact with the airlines, receive the proposed flight details, transmit to Operational Care, and

confirm or request for more options whenever it is needed.

8. MAWB creation, process, linkage with HAWBs and proper documentation are under your responsibility.

9. Manage the verification of Credit checks with the CO release team.

10. Manage the green light process and the Airway Bill Generation.

11. Ensure management of the original documents where required by destination.

12. Assign security statuses within the system.

13. Manage DG approvals and LC requirements, which include request all necessary documents to the customer, verify their

correctness, and interact with other teams to ensure a smooth DG operation.

14. Coordinate activities together with the warehouse (delivery, pickup and shipment’s receipt and departures from

warehouse). Also, the correct documentation flow following warehouse processes and all system status requirements

(status 0500/1000/2300, 3000).

15. Manage the customs process. Ensure the accomplishment of all system status in AirLOG from the start to the end of each

shipment, including departure (status 1300). Route map planning and update is 100% your responsibility.

16. Manage [as needed] the flight and transport planning including allocations and flight selection.

17. Have a critical view on the workings within the department and offer any advice to optimize collaboration between teams

and team members. It is expected from you that all interaction among teams that you proposed are documented with the

creation of SOPs or Working Instructions.

18. Participate in continuous improvement by suggesting new ways of cooperation between teams (CCL/OCC/RCC…) to

optimize the collaboration.

19. Immediately report problems, operational disputes or discrepancies to your team leader

20. Monitor operational performance of carriers and other vendors and escalate / create awareness if performance and

commitments are not being delivered

21. Initiate and resolve any rate or performance discrepancies

22. Act as a main contact for the services in scope

23. Support the training and on-boarding of new colleagues within KN standards

24. Support new customer implementations with systems setup, WI creation (if necessary)

25. Participate in workshops and conference calls as required

26. Engage in regular communication with the customer care locations, revenue care centre and carriers, building strong

relationships

27. Escalate issues which cannot be resolved to the Line Manager

28. Compile monthly KPI reports as required

29. Ensure compliance with company, industry and legal standards is adhered to across the function

30. Prepare & support internal and external audits

31. Adhere to existing K + N Guidelines, Standard Operating Procedures and Working Instructions

32. Understand and ensure compliance of the KN Quality Management System (QMS) in accordance with QSHE and

Security procedures.

33. You will work in accordance with WHO GDP Guidelines and EU guidelines latest version as well as the Global Healthcare

Manual P805, the Global, Regional and National guidelines and working instructions as per customer specific SOP’s for

all shipments.

34. You will ensure to use duly qualified / approved suppliers for each KN Healthcare (GxP Compliance) operation.

35. You ensure completion of all documents for Healthcare & Healthcare shipments according global procedures (1P to 4P).

For 3P and 4P shipments shipping documents to be issued in accordance to KN Healthcare procedure “AWB completion

for KN Healthcare service levels 3P and 4P”in DMS or as per country specific requirements”.

36. You will reply to all CareTeam and/or CCL (as applicable) requests based on shipment status as well as requests for

temperature readings, battery readings, sensor placement and information regarding proper placement into temperature

controlled storage.

37. You will be responsible to report and document deviations using the TIP Tool and/or customer´s specific CAPA format.

38. You must participate in all mandatory global and local trainings required for the OCC operational role according the KN

Healthcare Training Plan which will be controlled by Station Lead.

39. In case of technical support regarding a specific shipment you must always consult the CCL and/or Healthcare Team

Leader/Deputy to ensure compliance (e.g. Packaging, Route and Carrier selection, Placement of Sensors, DMS, KN Risk

tool, etc.).

40. Understand and adhere to Regulatory HPRA – Health Products Regulatory Authority Guidelines, EU GDP Regulations,

Irish Aviation Authority NCASP – National Civil Aviation Security Programme, IATA Regulations, ISO 9001, 14001, 28000

and 45001 in conjunction with Global QSHE Policies, Regional and National Integrated Management Systems.

41. Understand and adhere to Health & Safety regulations/legislation and KN H&S instructions/safety policies

42. Knowledge of and compliance with quality standards such as GXP and GDP

43. Knowledge of Semiconductor supply chain requirements to include, Semiconductor Market Semiconductor Supply Chain,

Quality as part of Semicon Logistics, Products and Service
