Job Description
To support, coordinate and develop the work of the voluntary committees delivering Killarney’s key festivals, including Christmas in Killarney, Irish American Friendship, Wander Wild, St. Patrick’s Day and the shopping festival. The role acts as a central liaison, ensuring excellent communication, planning and execution across all festival planning activities in line with Chamber objectives.
Principal responsibilities & duties
FESTIVAL & EVENTS COORDINATION
- Serve as the primary liaison between the Chamber and each festival committee.
- Schedule, attend, and minute committee meetings, ensuring clear actions and follow up.
- Facilitate collaboration between festival committees and coordinate sharing of resources/information.
- Manage relationships between stakeholder, suppliers and partners.
- Support festival Chairs to source and manage subcontractors for PR, marketing, safety, and creative services.
- Explore and develop further festivals to showcase Killarney and the surrounding area.
PLANNING & PROGRAMMING
- Create and finalise festival programme and venues.
- Liaise with acts, vendors, community groups, and stakeholders as required by festival Chairs.
- Prepare production plans and collect necessary documentation as required by festival Chairs.
MARKETING & PROMOTION
- Produce and execute a marketing and PR strategy across all festivals
- Manage content creation, website, social media and press activities.
- Manage festival photography and videography including uploading to relevant third-party sites;
- Arrange and manage press releases and advertising placements.
- Liaise with local media, tourism bodies, and community stakeholders.
ADMINISTRATION
- Provide administrative support including accounting, budgeting, procurement, and reporting.
- Help committees identify and secure sponsorships, grants, and funding opportunities.
- Manage shared resources such as event equipment, signage, and volunteer databases.
- Manage supplier negotiations and documentation.
- Administer ticket sales and financial transactions.
- Produce financial and performance reports for stakeholders.
PRODUCTION
- Assist Festival Chairpersons in all production aspects of the festivals.
- Coordinate volunteers, artists, production staff, and contractors.
- Ensure smooth execution of events.
HEALTH & SAFETY
- Oversee event safety planning and compliance.
- Ensure necessary risk assessments and safety staff are in place.
- Liaise with medical, traffic, and security services.
POST EVENT ANALYSIS & REPORTING
- Produce comprehensive post-event reports including SWOT analysis.
- Evaluate marketing effectiveness, customer feedback, and analytics.
- Manage storage & distribution of festival assets & resources.
- Ensure timely drawdown of grants and compliance with funding conditions.

Key Skills & Experience
- Experience in event coordination, community engagement, or non-profit administration. Strong organisational and multitasking abilities.
- Excellent interpersonal and communication skills.
- Ability to work with diverse volunteer groups and manage multiple stakeholders.
- Familiarity with Killarney’s cultural and tourism landscape is highly desirable.
Desirable Qualifications
- Degree or diploma in Event Management, Community Development, Tourism, or related field.
- Experience with budgeting, grant submission, or sponsorship management.
- Proficiency in Microsoft Office, Google Workspace, and digital communication tools.
Working Conditions
- Flexible working hours, including evenings and weekends during festival periods.
- Office-based with regular attendance at committee meetings and events.
