Role Overview:
As membership & engagement support Officer, you support our members through administrative duties. This role requires collaboration across all teams within IGBC, and it is an excellent opportunity for a motivated individual to gain experience in database management, event coordination, and stakeholder engagement within the sustainability sector.
Key Responsibilities:
Administrative Support:
- Act as the primary HubSpot manager to ensure accurate and complete membership updates and general information is collected and updated in HubSpot in a correct and timely manner.
- Prepares weekly HubSpot reports for the Head of Membership.
- Assist in the preparation of Board materials and reports.
- Maintain accurate and timely records of event and education attendance in HubSpot.
- Provide general administrative support to the Head of Membership and other team members as needed, e.g., as part of reporting for funded projects.
Membership Support:
- Provide administrative support to IGBC members, responding to inquiries and maintaining accurate membership records using HubSpot.
- Support the recruitment and onboarding of new members.
- Manage membership renewals and the tracking of membership payments
- Assist in the coordination of member engagement activities, including newsletters, networking events, and online forums.
Membership Learning support:
- Collaborate with the Education Manager to ensure members have timely access to up-to-date learning opportunities.
- Assist in the preparation and review of learning materials, including uploading resources to the Learning Hub and collecting participant feedback.
- Coordinate logistics with speakers and trainers, helping ensure the delivery of high-quality learning events.
- Provide technical and engagement support during live educational events (e.g., polls, Q&A, chat moderation).
Engagement:
- Organize and facilitate monthly check-in meetings (online or onsite) with members to gather feedback, understand needs and challenges, and strengthen the member–organization relationship.
- Coordinate and support members in hosting at least one engagement session per month, providing space for them to share updates, showcase work, or lead discussions that benefit the wider group.
- Serve as the primary point of contact for members- ensuring consistent, clear communication around resources, opportunities, and updates relevant to their involvement.
- Track engagement levels, identify trends or issues, and suggest improvements based on direct input from members.
- While not directly responsible for event planning or registrations, provide support where appropriate to ensure a smooth member experience to the Events & Marketing/Communications Officer.
Qualifications and Skills:
Education:
- A degree or diploma in business administration, pubic administration, sustainability, etc or a related field is preferred.
Experience:
- Some experience in HubSpot (or a similar CRM) customer service, or administrative support is beneficial but not required.
Skills:
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- CRM experience is highly preferred, not required.
- Experience with social media platforms and online event tools (e.g., Zoom, Teams, Eventbrite) is a plus.
- Passion for sustainability and green building practices.

What We Offer:
- Starting salary range €29,000 - €33,000 depending on experience reviewed annually.
