Main Purpose of job:
To ensure the correct and smooth running of the Kerry Depot ordering and night shift distribution system so that bread is properly ordered, checked in from Granard and distributed to our agents and salesmen and all stock is accurately reconciled daily on a unit basis, and to comply in all respects with the control and operational procedures as laid down by the Company.
Key Roles:
1. Providing Granard with summary order or orders for Depot in line with the Depot’s requirements and placing orders with other local suppliers if necessary.
2. Checking in deliveries from Granard, ensuring that actual quantities received are matched against delivery dockets and any errors on the delivery docket are agreed with the driver, and the docket manually adjusted and signed.
3. Print order picking lists for preparation of orders.
4. Assembling orders in accordance with the picking lists printed and ensure the accuracy of these.
5. Amending issues to take account of any shortages or extra bread to be issued and actual quantities of trays issued and proofs of delivery for distributors.
6. Issuing these orders to salesmen and distributors, with proof of delivery, and recording any tray returns on these and getting salesman or distributor to sign for their bread in all cases and filing all signed copies in the designated way.
7. Physically checking and inputting closing stocks and returns for salesmen from their handheld printouts on the system on a daily basis.
8. Entering Depot closing stocks and damages on the system and preparing a daily unit stock reconciliation ensuring that it correctly reconciles.
9. Recording all tray and trolley movements between depot and Granard and depot and salesmen/distributors and entering this information on computer and printing reports for issue to Granard and to salesmen and distributors and for local filing.
10. It is the responsibility of the job holder to keep his work area clean and tidy at all times, including office, distribution area and hot room.
11. Where trucks are on route to other depots they must be unloaded and dispatched in an efficient manner to minimize delays.
12. The jobholder should promote sales wherever possible with salesmen and distributors.
13. Ensure that premises, equipment (including handhelds) and machinery are kept in serviceable condition and that any defects are reported and acted upon.
14. Liaise with all other areas that are dependent for information ensuring that effective communication takes place and that all requests/orders/changes and developments are clearly understood.
15. Ensure all internal post for other offices of Pat The Baker is forwarded on the Granard artic each night.
16. Deal with any other matters or duties that may from time to time come within the scope of his position and assist Management at any time as necessary to ensure the smooth running of the Depot and the company as a whole.
17. Ensure all security procedures are maintained and any unauthorized persons challenged courteously also ensure security is monitored on an ongoing basis and any corrective action necessary is taken.t all levels within the organization
