About the Role:
As Office Manager, you’ll take charge of the day-to-day operations and provide essential administrative support to the Everest Reinsurance Company Ireland Dac (ERCID) team. This is a 1-year fixed-term contract to cover maternity leave.
You'll be based in our Dublin office, following a hybrid schedule: four days in the office and the flexibility to work remotely every Friday.
Role & Responsibilities (include but not limited to):
Office Management
Meeting & Greeting visitors to the office.
Managing incoming/outgoing post/ courier services.
Answering calls when required and liaising with clients and business partners.
Issuing and managing access fobs for staff and visitors.
Ordering and managing office supplies (including stationery, water, kitchen supplies etc).
Maintaining the condition of the office and arranging for necessary repairs.
Maintenance of office machines & appliances (excluding IT).
Liaising with Landlord and external contractors and vendors.
Ad-hoc trouble shooting.
Managing the office desk booking system, (Zero).
Work closely with EAs (both in Dublin & Internationally) and Facilities Team.
Diary management and Administrative Support
Preparation for meetings and administrative support when required, including:
- Preparing & reviewing papers and packs for meetings;
- Preparing & reviewing PowerPoint presentations;
Planning and assisting with organising conferences, offsites, team and social events.
Booking of hotels and flights for CEO via Concur travel system; including preparing travel itineraries, contact details and boarding passes where appropriate.
Support with Dublin & Zurich annual ‘Off-Site’ event held in summer.
Miscellaneous administrative tasks to support the ERCID team.
Assisting with local onboarding of Dublin office staff.
Planning and organising meetings; including monthly Management Team & Quarterly Town Halls.
Organizing & Managing quarterly Board Meetings, including location, AV set up, admin support, invitations, catering & entertainment for local and international visitors.
Culture & Social
Managing Dublin Culture & Social Team & Planning and organising events and charity days for the Dublin office.
Participating in committees on matters relating to culture for example Everest Charitable Outreach & Other ERGs.
Finance Support & Expense Management
Holder of company credit card.
Supporting Finance Dept. with monthly invoicing including, signing off ad hoc billing for example taxis, shredding etc.
Fully responsible for preparation and submission of expense claims using the Expense Management system (Concur) and reviewing.
Support CEO with expenses.
Qualifications:
Fantastic interpersonal skills, discreet and a confident communicator.
A willingness to learn and solve problems and work proactively with minimal supervision.
Excellent attention to detail, time management and organisational skills.
Co-ordination, planning and organisation skills with the ability to prioritise tasks and adapt to new and changing priorities.
Excellent IT skills, proficient in Microsoft Word, PowerPoint, Excel and Adobe Acrobat.
Logical and resourceful.
Ability to manage pressure and conflicting demands.
