About The Role
We're seeking an experienced Operations Support Administrator to join our Industrial Cleaning division at Bidvest Noonan, a leading company with over 27,000 employees across Ireland and the UK. Based at our Head Office in Swords, Co. Dublin, you'll play a key role in supporting our team of Operational and Support Managers, driving exceptional service delivery in the industrial cleaning sector.
As a vital member of our operations team, you'll help us maintain and exceed our high standards, ensuring seamless coordination between teams, clients, and suppliers. Your strong organisational skills, ability to prioritise tasks, and professional communication style will be essential in this role, contributing to our continued success and growth.
Responsibilities:
- Input and schedule PPM (Planned Preventative Maintenance) and reactive jobs, enabling timely allocation to operational teams.
- Track and report on scheduled jobs, ensuring all completed works are signed off and accounted for.
- Assist with weekly recruitment of cleaning operatives, reviewing and submitting applications to Operational Managers, and ensuring compliance with company procedures.
- Maintain employee training matrix and arrange training for upcoming expiry certs.
- Ensure Client Service Level Agreements (SLAs) are met.
- Liaise with clients and suppliers on a variety of operational matters maintaining and building long term relationships.
- Assist Support Manager in the streamlining of operations, utilising IT systems where possible to automate processes.
- Compile and present weekly reports for Operations Team.
- Issue detailed, accurate invoices to clients, ensuring clarity in billing.
- Submit purchase orders to suppliers.
- Provide support and guidance via incoming calls and emails, escalating issues when necessary.
- Assist with weekly input of cleaning operatives' timesheets, ensuring accuracy and data integrity.
- Support consumable sales and order processing.
- Assist with Credit Control and billing team queries.
- Undertake ad hoc administrative duties to ensure team success.
- Promote quality across all aspects of the business.
- Adhere to company policies, ensuring security of information and compliance with professional standards.
- Ability to work effectively as part of a team to achieve common goals.
- A strong customer focus with excellent written and verbal communication skills.
- Proficiency in Microsoft Office (e.g., Excel, Word, Outlook) and CRM systems, with an eye for detail.
- Familiarity with IT systems and software (e.g., scheduling software, invoicing systems)
- Proven ability to take initiative and drive solutions to operational problems, with excellent communication skills to ensure seamless implementation.
- The ability to meet deadlines and manage your own time, with an ability to adapt to changing priorities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong understanding of data protection and confidentiality policies and procedures.
- A professional and engaging telephone manner.
- Experience in a similar role (2 year minimum)
