Patient Account Officer Grade IV – Permanent Contract & Full-Time
The Dublin Dental University Hospital is seeking to recruit a Patient Account Officer in Patient Services to join the team as soon as possible. This post is a permanent contract (wholetime), Monday to Friday (35 hours) business hours. The overall purpose of the Patient Accounts Officer Grade IV role is to work as a member of a busy team to deliver an excellent level of service to all patients, students and staff within the Hospital. The position reports to and is accountable to the Patient Services Manager (PSM) via the Patient Accounts Team Leader (in the absence of same Assistant Patient Services Manager) or by any other authorised designated officer that the responsibility is delegated to by the PSM and/or the CEO.
Thereafter, we will formulate a panel of successful candidates over the next 12 months for any vacancies that may arise.
Outline of Duties and Responsibilities
The successful candidate will be responsible for duties related to the Patient Accounts department of the Patient Services team. This will also include administering patient accounts services in an efficient manner and to provide an excellent service to patients, staff and students in relation to all patient accounts matters.
Main tasks include but is not limited to:
Providing support to the Patient Accounts Grade V Team Leader and deputising where required in his or her absence. Due to the ever-evolving nature of the Patient Accounts functions in the DDUH duties are subject to change in the event of changes to funding or process.
Duties include but is not exclusive to:
- Responding to and day to day management of telephone calls to Patient Accounts.
- Administering and processing any payments received to the DDUH either by telephone, in person or by electronic means.
- Patient Account Emails – including administration and processing of emails / addressing queries / responding etc.
- Health Board Letters and set up of accounts including treatment plan only covered and liaising with the treating clinical or health board as required.
- Processing and administering of credits, debits and in progress reports and transactions.
- Generation of invoices and reminders and processing or checking including posting.
- Processing and administering post received.
- Balancing and closing of individual cash sheet including the approval of other cash sheets in the department (including Patient Services) and processing to the Finance department Day to day processing of confirmation dates and booking clinics to capacity.
- Applying and processing credits for any services or patients exempt from fees.
- Chairside billing – generating of list for chairside billing pre-appointment checks including generation of any necessary documentation for the patient / DDUH.
- Processing and administration of the HSE medical card scheme relevant to the DDUH including.
- Necessary scanning.
The extent and speed of change in the delivery of services is such that adaptability is essential to this level of appointment. The person chosen will be required to maintain, enhance and develop their knowledge, skills and aptitudes necessary to respond to changing situations. Qualifications, Experience & Person Specification
Each candidate must have:
- Leaving Certificate & ECDL (or similar).
- A minimum of 1 year patient services experience in a Hospital outpatient setting.
- Strong administration skills including the ability to manage a number of tasks simultaneously whilst maintain attention to detail.
- Be focused and ability to work on their own initiative.
- Be able to work as part of a team and provide day to day direction to other staff.
- The ability to problem solve and find solutions to challenges.
- Willingness to be flexible and adaptable.
- An ability to contribute to and work effectively as a member of a team and on own initiative.
- Excellent interpersonal & communication skills and the ability to relate effectively with staff at all levels.
Desirable:
- Ideally hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland, (QQI).
- A qualification in first line management or similar.
- Experience in an account setting role.
