Job Purpose
The Purchasing Officer will play a key role in supporting the procurement activities at Ballymaguire Foods on a part-time basis. This position is responsible for ensuring raw material and component availability to meet production schedules, maintaining accurate purchasing records, and supporting the supply chain team through efficient procurement and stock control practices. The role requires strong organisational and administrative skills and the ability to work collaboratively across departments, particularly with planning and production.
Key Responsibilities
- Procurement Support & Order Management
- Place purchase orders in line with daily and weekly production needs.
- Ensure all orders are placed accurately based on agreed specifications and planograms.
- Collaboration with Production & Planning Teams
- Liaise with Production and Planning to align purchasing activities with schedules.
- Ensure availability of key materials to avoid downtime.
- Inventory & Stock Control
- Monitor stock levels and maintain agreed stockholding figures.
- Support inventory accuracy through regular updates, reconciliations, and reporting.
- Supplier Communication & Seasonal Planning
- Maintain relationships with key suppliers and communicate order schedules, price changes, and delivery updates.
- Consider seasonality impacts on supply and proactively manage risks.
- Price Management
- Update pricing information in procurement systems and communicate changes to relevant teams.
- Ensure consistency in pricing and adherence to procurement policies.
- Compliance & Quality Coordination
- Ensure all stock ordered meets approved specifications.
- Coordinate with Technical Manager regarding specification changes or new product samples.
- Reporting & Administration
- Support the preparation of weekly yield tracker data by ensuring timely and accurate material usage records.
- Maintain purchasing documentation and ensure accuracy of records.
- Cover & Training Support
- Provide support or documentation where needed to assist in maintaining cover during periods of absence.
- Assist with procurement-related training to ensure continuity within the team.
- Other Duties
- Carry out additional procurement-related duties aligned with the role, as requested by the Purchasing Manager or Operations Manager, within the scope of the part-time schedule.
Qualifications & Experience
- A qualification in Supply Chain, Business, or related field preferred.
- Minimum 1–2 years’ experience in a similar procurement/purchasing environment.
- Experience in FMCG or food manufacturing is highly desirable.
Skills & Competencies
- Excellent attention to detail and organisational skills.
- Strong communication and interpersonal abilities.
- Good working knowledge of Microsoft Excel and purchasing systems.
- Ability to work independently with minimal supervision.
- A flexible and adaptable approach to workload in a fast-paced environment.
Working Hours:
This role is structured as a 3-day-per-week position, ideally suited for candidates seeking a part-time schedule while maintaining meaningful involvement in a dynamic supply chain function. Working days will be agreed in advance and may be subject to adjustment depending on production needs.
