The Student Services & Operations Manager plays a central role in the smooth running of ILSC Dublin, combining responsibility for admissions, welfare, accommodation, and campus operations. Leading the Front Desk Executive team, this position is the first point of contact for students, agents, and visitors, ensuring that enquiries are handled efficiently and that every student receives high-quality support throughout their journey. The role also oversees student housing, welfare provision, facilities management, and key administrative and financial processes, working closely with group functions to maintain
high standards of service and compliance. This is a varied and student-focused leadership role at the heart of the school’s daily operations.
JOB DUTIES
The duties of this position include, but are not limited to:
Sales & Admissions
- Lead the Front Desk Executive team to ensure all enquiries, bookings, and reception services are delivered to a high standard.
- Work with the Marketing team to ensure web-based, telephone, and walk-in leads and renewals are converting into bookings within agreed service targets.
- Collaborate with the Marketing team on special offers, promotions, and agent policies to maximise sales opportunities.
- Accurately log and maintain student details in CLASS and LCMS systems.
- Prepare weekly and monthly reports on enquiries, bookings, and conversions against targets.
- Continuously review admissions and delivery processes, making recommendations for improvement.
Student Welfare & Support
- Act as the school’s lead for student welfare, ensuring that all students receive appropriate guidance, care, and support throughout their studies.
- Provide a first point of contact for welfare concerns, escalating issues when necessary and ensuring a safe, inclusive, and supportive environment.
- Ensure compliance with safeguarding, health and safety, and student wellbeing policies.
Accommodation Management
- Act as the school’s Accommodation Officer, overseeing all student housing arrangements.
- Manage relationships with host families, residences, and housing providers to ensure quality standards and availability.
- Match students with appropriate accommodation, addressing issues promptly and maintaining
accurate housing records.
Campus Management & Facilities
- Oversee the day-to-day management of the school campus, ensuring facilities and IT systems are maintained to a high standard.
- Act as the first point of contact for facilities or IT issues, ensuring timely resolution in coordination with Group functions and external providers.
- Monitor the quality of the learning and working environment, making recommendations for improvements where necessary.
Administration & Finance
- Assist with financial and accounting processes, including preparing supplier payments and salary details.
- Coordinate weekly and monthly administrative reports.
- Carry out general administration duties as required, ensuring smooth day-to-day operations.
EDUCATION AND EXPERIENCE REQUIRED
- Post-secondary education required; a degree-level qualification preferred.
- Minimum 3 years’ experience in school administration, student services, or a related customer-facing role, ideally within an international education environment.
- Previous experience in a management or supervisory role with direct reports.
- Experience with admissions, accommodation, welfare, or campus operations is highly desirable.
- Familiarity with compliance frameworks in the education sector (e.g. INIS, ILEP, or similar) would be an advantage.
SKILLS AND ATTRIBUTES
- Strong communication and interpersonal skills, with the ability to build positive relationships with students, staff, and external partners.
- Proven management and leadership ability, ideally with experience supervising a front desk or student-facing team.
- Excellent organisational skills with the ability to multitask and prioritise in a fast-paced environment.
- Strong computer literacy, including student databases, Microsoft Office, and comfort with digital tools and social media.
- Proactive and solutions-oriented, with strong problem-solving and critical-thinking skills.
- Adaptable and collaborative, able to work effectively across departments and with group functions.
- A self-starter who can take initiative while also contributing positively in a team setting.
- Cultural awareness and sensitivity, with the ability to support students from diverse backgrounds.
- Knowledge of another language (especially Spanish, Japanese, Portuguese, Mandarin, or Korean) is an asset.
