Role Overview:
The Scheduling Administrator plays a crucial role in coordinating and managing the scheduling of services for both clients and care staff. This position is essential in ensuring that our clients receive the highest quality of care through effective scheduling and coordination.
Key Responsibilities:
- Scheduling & Coordination:
- Develop and manage client and care staff schedules, ensuring alignment with client care plans.
- Assign daily schedules to care staff to ensure adequate coverage and client satisfaction.
- Continuously monitor client activities and update client information using internal rostering software.
- Record and manage all communications related to care staff, clients, HSE, and family members in a timely manner.
- Client & Care Staff Service:
- Answer incoming calls and emails in a professional and efficient manner, addressing client and caregiver inquiries promptly.
- Manage shift cancellations, schedule changes, and additional requests as they arise.
- Build and maintain positive relationships with clients and care staff to support effective care delivery.
- Facilitate smooth communication between Communicare staff, family members, and HSE to ensure seamless client care.
- Record Keeping:
- Maintain accurate and up-to-date records for clients and care staff.
- Set up and manage schedules accurately using internal software.
- Handle data responsibly in accordance with GDPR guidelines and regulations.
- Care Staff Supervision:
- Coordinate care staff holidays and ensure roster changes are communicated promptly.
- Arrange coverage for staff leave, including holidays and sick leave, as required.
Key Responsibilities Include but Are Not Limited To:
- Ensuring all shifts are covered and managing any gaps in scheduling.
- Providing support and guidance to care staff to address any scheduling issues or concerns.
- Handling urgent or unexpected changes in care requirements with efficiency and professionalism.
